    Administrative Assistant – Wafa House (Woodland Park, NJ)

    Status: Part-Time

    Reports to: Programs Director

    Location: Woodland Park, New Jersey (on-site)

    About Wafa House

    Wafa House is a nonprofit organization dedicated to supporting survivors of domestic violence and sexual assault, strengthening families, and promoting community well-being through culturally sensitive advocacy, counseling, crisis intervention, and education. We provide confidential, trauma-informed services that empower individuals to rebuild safe and healthy lives.

    We are seeking a compassionate, organized Administrative Assistant to provide essential administrative and operational support to ensure the smooth functioning of daily activities and client services.

    Position Summary

    The Administrative Assistant is responsible for supporting office operations, client intake support, scheduling, record keeping, and general administrative tasks that keep the organization running efficiently. This role requires professionalism, discretion, excellent communication skills, and the ability to work respectfully with individuals from diverse cultural and linguistic backgrounds.

    The ideal candidate is detail-oriented, comfortable handling sensitive information, and committed to supporting the mission of Wafa House.

    Key Responsibilities

    Administrative & Office Support

    Support Programs director with daily administrative tasks including:

      • Manage operations including intake phone calls
      • Maintain office supplies, organize files, and ensure a welcoming and professional environment.
      • Assist with data entry, documentation, and preparing reports for grants or program tracking.
      • Coordinate mail, deliveries, and general office logistics.
      • Assist in preparing educational materials, forms, and resource packets for programs.
      • Support event planning, outreach campaigns, and community workshops.

    Communications & Organizational Support

      • Maintain calendars including setting up staff meetings, send meeting reminders, and handle room scheduling.
      • Assist with updating social media posts, newsletters, or website content as needed.
      • Support with meeting coordination, minutes, and follow-up tasks.

    Qualifications Required

      • High school diploma or equivalent; associate’s degree preferred.
      • 1–2 years of administrative or office experience, preferably in a nonprofit, social services, or healthcare setting.
      • Strong organizational skills and attention to detail.
      • Ability to maintain confidentiality and handle sensitive situations with empathy.
      • Proficiency in Microsoft Office (Word, Excel, Outlook) and basic data-entry systems.
      • Excellent verbal and written communication skills.

    Preferred

      • Experience supporting domestic violence or social-service organizations.
      • Familiarity with trauma-informed care principles.
      • Knowledge of Arabic, Urdu, Pashto, Bengali, or other languages spoken in the community.
      • Experience working with culturally diverse populations.

    Work Environment & Schedule

    Compensation

    $20 per hour up to 15 hours per week total of 350 hours.
