    Enterprise for Youth empowers young people to prepare for and discover career opportunities. Youth cultivate their individual interests and potential through training, guidance, and paid employment experiences in supportive environments.

    Founded in 1969, Enterprise for Youth offers San Francisco youth ages 14 to 24 a continuum of workforce development programming. Enterprise serves over 400 youth annually through a full range of employment resources, including job-readiness training, paid internships with college credit, and support applying to and securing employment.

    Enterprise programs enable youth to develop the skills and gain the experience necessary to transition successfully into adult life. Providing young people access to jobs is the cornerstone of Enterprise’s work; we encourage youth to affect change in their own lives, and we support them on a path to seek economic mobility. Enterprise actively partners with the business community, educational institutions, and non-profit organizations to create a broad network of opportunities and support for youth.

    OPERATIONS MANAGER POSITION

    Position Summary

    The Operations Manager is a critical member of the Enterprise for Youth team, responsible for ensuring the smooth, efficient, and compliant operations of our organization. This role manages the systems, processes, and infrastructure that enable our program and development teams to serve young people effectively. The Operations Manager owns partner operations, human resources administration, technology systems, office management, and board support—ensuring organizational excellence across all operational functions.

    Reports to: Chief Executive Officer

    Key Responsibilities

    Partner Operations & Compliance

    • Manage all aspects of employer partner onboarding, including creation, review, tracking, and organization of commitment forms, MOUs, certificates of insurance, workplace safety prevention plans, and handbook acknowledgments
    • Conduct employer partner onboarding follow-up via email and phone to ensure completion of all required documentation
    • Serve as primary liaison with insurance broker; manage certificates of insurance for partners as requested by program team
    • Request and process certificates of insurance (COIs) as needed for partnerships and contracts
    • Track and maintain W9s for all partner organizations requiring payment processing
    • Manage partner budgets, quotes, and invoicing for internship partners who choose to donate
    • Lead fingerprinting process for all partners, interns, and seasonal staff as required

    Human Resources & Compliance

    • Manage complete onboarding and offboarding procedures including GoCo system setup, Enterprise email creation, tech account setup, laptop inventory, and email signature configuration for permanent and seasonal employees, Program Assistants and Interns
    • Post job openings on LinkedIn and other job boards; manage full application process including resume/cover letter filing, candidate communications, and interview scheduling
    • Administer employee benefits programs, including health insurance enrollment, retirement plan coordination, and annual open enrollment in partnership with One Digital
    • File monthly health and dental insurance invoices; review for discrepancies and ensure accurate payment processing
    • Process employment verification requests through GoCo as needed
    • Maintain employee records and HR systems in accordance with legal requirements and best practices
    • Create orientation materials for new hires and support populating work plans
    • Manage facility key cards and laptop setup for all new hires
    • Create calendar invites for timesheet deadlines in accordance with payroll due dates from Finance

    Seasonal Hiring

    • Lead seasonal hire job posting, application management, interview coordination, and candidate tracking
    • Populate and send offer letters for seasonal hires, and conduct onboarding calls
    • Update and maintain Enterprise for Youth email listserv groups
    • Consider and implement exit interview process for seasonal staff

    Technology & Systems Management

    • Oversee all technology tracking, including software subscriptions, licenses, vendor contracts, and renewals
    • Manage technology bill payment and budget tracking for all organizational tech expenses
    • Coordinate with IT vendors and consultants to ensure systems are functioning properly and securely
    • Maintain technology inventory and asset management; order and inventory staff and student tech equipment; maintain software updates and replenish as needed
    • Serve as SPUR tech lead, coordinating key cards, laptops, and technology setup for new hires
    • Manage organizational technology platforms including ,Textedly, Zoom, and Formstack.
    • Serve as Google Workspace admin including laptop inventory, updating email signatures, and setting up email forwarding as needed
    • Serve as Zoom admin including creating new users, assigning phone numbers, and removing old phone numbers/accounts
    • Provide Zoom support and ensure all calls are routed through appropriate channels (main line vs. extensions)
    • Forward mail from Postscan weekly and manage physical mail distribution

    Office Management & Board Support

    • Manage day-to-day office operations, including supplies, equipment, facilities coordination, and vendor relationships
    • Manage Enterprise for Youth’s information email and triage emails accordingly
    • Order supplies for teams as needed and schedule internal lunch delivery; schedule lunch orders for partnerships as needed
    • Provide logistical and administrative support for Board of Directors meetings, including scheduling, materials preparation, and minute-taking
    • Coordinate board committee logistics and communications as needed
    • Support CEO with special projects, operational initiatives, and organizational planning

    Process Improvement

    • Identify opportunities to streamline operations and improve organizational efficiency; may be asked to conduct research on best practices and/ or new platforms
    • Develop and document standard operating procedures for key operational processes
    • Support implementation of organizational systems that improve transparency and accountability
    • May supervise program assistant or intern to support operational functions

    Qualifications

    Required:

    • Bachelor's degree or equivalent experience in operations, human resources, business administration, or related field
    • Minimum 3-5 years of experience in operations, HR, or administrative management, preferably in a nonprofit setting
    • Strong knowledge of HR compliance, employment law, and benefits administration
    • Excellent organizational skills with ability to manage multiple projects, deadlines, and priorities simultaneously
    • Proficiency with technology systems and platforms including Salesforce, Google Workspace, HRIS systems (GoCo preferred), Zoom, Formstack, Textedly, and Squarespace
    • Strong written and verbal communication skills with attention to detail
    • Demonstrated ability to build systems, document processes, and improve operational efficiency
    • Commitment to Enterprise for Youth's mission of supporting underserved young people
    • This role is an in-person position and requires a presence in our San Francisco office

    Preferred:

    • Experience in youth development, workforce development, or education nonprofit sector
    • Familiarity with insurance, risk management, and compliance requirements for internship programs
    • Experience supporting a Board of Directors or governance body
    • Project management certification or training
