    The World Childhood Foundation USA (WCF-USA) is currently accepting applications for an Executive Assistant. Founded in 1999, by Her Majesty, Queen Silvia of Sweden, the World Childhood Foundation has worked persistently to ensure that all children have a safe and loving childhood, free from sexual abuse and exploitation. World Childhood has global offices in the USA, Germany, Brazil and Sweden. Here in the United States, World Childhood USA works to develop solutions focused on prevention, response, and child online safety.

    Job Description

    This is a highly visible, administrative role supporting Childhood USA’s senior leadership. The ideal candidate is great at multi-tasking, highly organized, tech-savvy, and comfortable interfacing with board members, donors, and external partners.

    Key Responsibilities:

      • Executive Support: Provide administrative support to the Executive Director, Director of Programming, and Development Associate. Drafts correspondence, reports, and prepares presentations and briefing materials for meetings.
      • Board & Committee Support: Acts as a liaison to the Board of Directors, coordinating meetings, preparing board packets, taking meeting minutes, running Zoom and other presentations
      • Operations & Administration: Maintains office supplies, files, and digital systems (Egnyte cloud server). Provides general administrative support to ensure smooth daily operations, welcoming guests, and collaborating with on-site office facility staff as needed.
      • Fundraising/Development Assistance: Assists with donor management, maintaining donor records in Salesforce database, and helping with fundraising events.
      • Communications: Manages public-facing communication, responding to inquiries, interfacing with outsourced vendors such as IT, legal, PR, website partners, and our international team.
      • Technical Support: Assist with general technology setup, including laptops, and running presentations.

    Qualifications

    Requirements:

      • Ability to be in-office 5 days, working 35 hours per week
      • Flexibility to work occasional evenings/weekends as required for special events
      • Bachelor’s degree
      • Minimum five years in a similar role
      • Experience with Salesforce is essential.
      • Highly organized, detail-oriented, and able to navigate multiple priorities simultaneously
      • Commitment to WCF’s mission and vision. Ability to navigate delicate topics with poise and maintain confidentiality of sensitive information
      • Mastery of Microsoft Office Suite, particularly PowerPoint, Excel, and Outlook, and virtual meeting platforms.
      • Strong technology skills using Windows and Mac software including ability to troubleshoot user issues
      • Ability to learn new software and tools as needed
      • Comfortable supporting senior leadership
      • Strong written and verbal communication skills

    Preferred:

      • Experience corresponding with boards of directors and donors
      • Experience in a non-profit or comparable environment
