    Description

    The Assistant Director of Development Operations provides administrative, technical, strategic, and project management support to power Frost Valley YMCA’s fundraising and stewardship efforts. This role ensures donor data is accurate and accessible while overseeing the CRM and related software platforms. By maintaining rigorous data standards, providing sophisticated reporting, and managing departmental workflows, this position provides the logistical infrastructure required to drive effective donor engagement, manage the fundraising pipeline, and help the Development team meet its strategic goals.

    ESSENTIAL FUNCTIONS:

    • Create and maintain clear data governance guidelines and procedures to ensure all donor information is accurate, organized, and consistently recorded across all systems
    • Build and refine processes for gift entry, acknowledgments, donor agreements, and pledges; partner with Finance and fundraisers for monthly reconciliation, revenue reporting, and tracking/invoicing outstanding pledges
    • Design and deliver reporting dashboards and performance metrics; analyze donor and revenue trends; prepare regular revenue forecasts to guide planning and goal-setting
    • Manage development software and platforms to ensure effective use in support of fundraising and engagement goals
    • Coordinate wealth screenings and maintain accurate capacity ratings; prepare research briefs; manage donor pipeline, gift stages, and moves management reporting
    • Produce donor acknowledgment letters; support segmented lists and logistics for appeals; manage donor recognition listings across platforms
    • Create, test, and maintain online donation forms, event registration pages, and surveys to ensure a seamless user experience and accurate data capture
    • Utilize project management to oversee departmental projects and track grant deliverables, timelines, compliance, and reporting dashboards
    • Maintain and evolve the Development Operations Manual (SOPs); organize departmental files; monitor departmental expense budget and support annual revenue projections
    • Enable team members to leverage CRM functionality; implement best practices and provide ongoing training to ensure effective system use
    • Partner with IT, Marketing, and cross-functional teams to support system enhancements, donor communications, and organizational initiatives
    • Coordinate with Marketing on campaigns; manage guest lists and RSVP tracking for donor events
    • Other duties as assigned

    QUALIFICATIONS:

    • Bachelor’s degree required.
    • 5+ years of relevant experience in development operations or database management.
    • Advanced skills in Salesforce. Proficient in Google Workspace/Microsoft Office, with a strong emphasis on spreadsheets and financial tracking.
    • Experience with Asana (or similar project management tools) and prospect research tools (e.g., WealthEngine) preferred.
    • Ability to translate complex data into clear, actionable recommendations for fundraisers and executives.
    • Highly organized and detail-oriented; ability to manage multiple priorities under pressure; strong problem-solving skills; and a solutions-oriented mindset.
    • Strong communication skills with the ability to maintain confidentiality regarding donor information.
    • Willingness to travel – both day and overnight trips will be required for conferences, staff retreats, trainings, and other meetings.

    • This position often requires a commitment of 40+ hours per week.
    • The noise level in the work environment is usually moderate.
