Position Overview
The Allen-Stevenson School seeks a Staff Accountant who will support business operations and interface with the school community and vendors. The successful candidate has a strong background and knowledge of accounts payable and receivable, reconciliations, tuition billing, and financial reporting. The Staff Accountant reports to the Senior Accountant and provides support to the CFO.
Salary Range and Position Type
This full-time, in-person position starts on or around May 1, 2026, and is eligible for benefits. The budgeted salary range for this role is $65,000- $85,000, commensurate with education and experience.
Essential Responsibilities and Duties (This is not an exhaustive list, and other related duties may be assigned to this individual.)
Office Culture & Operations
- Billing & Cash Receipts
- Oversee all cash receipts and related processes, including student enrollment billing, the reconciliation of financial aid awards, deferred tuition, and auxiliary revenue (rentals, faculty purchases, and programs)
- Manage the A/R aging report, proactively resolving delinquent accounts and ensuring all incoming receipts (tuition, fees, and development gifts) are reconciled to the General Ledger.
- Accounts Payable (A/P) and Expense Responsibilities
- Lead end-to-end invoice processing via Bill.com, including vendor onboarding (W-9s), payment verification, and 1099 year-end filings.
- Administer the school’s corporate credit card program (Divvy) and Amazon accounts; audit employee reimbursement requests to ensure strict alignment with school expense policies.
- Financial Reporting and Audit Support
- Perform monthly G/L reconciliations and maintain accurate deferred revenue schedules to ensure a "close-ready" environment.
- Serve as a key contributor to the annual internal financial audit, providing documentation and supporting schedules as required.
Administrative & Operational Leadership
- Serve as a resource for finance-related questions from employees, triaging and resolving inquiries related to expenses, reimbursements, and vendor payments.
- Approach administrative processes and decision-making through an inclusive lens.
- Use technology effectively and appropriately to streamline office operations, manage data systems, and support virtual or hybrid work environments as necessary.
Staff & Stakeholder Experience
- Safeguard the school’s financial operations from transaction to audit while supporting a positive experience for families, staff, and leadership.
- Support Allen-Stevenson’s mission by ensuring accurate, ethical, and transparent financial practices.
Communication & Collaboration
- Foster a service-oriented culture by building respectful, professional relationships across a diverse community of students, families, and administrators.
- Act as the primary finance resource for faculty and staff, translating complex financial processes (reimbursements, budgets, vendor payments) for non-financial audiences.
- Use computer-based financial technology to streamline office operations while maintaining a high standard of discretion and diplomacy when handling sensitive family and personnel data.
- Communicate proactively and clearly regarding deadlines, discrepancies, and process improvements, while actively listening to feedback and seeking clarification to ensure accurate understanding and resolution of issues.
- Respond to inquiries in a timely, courteous, and solution-oriented manner.
Working Conditions and Physical Demands
- Primarily works in a standard office environment within a school setting, including prolonged periods of sitting.
- May require occasional attendance at school events, meetings, or activities outside of regular business hours.
- Work is typically performed during standard school business hours, with extended hours possible during peak periods (e.g., fiscal year-end, audits, budget season, enrollment cycles).
- Frequent use of hands and fingers for typing, data entry, and operating office equipment.
- Ability to communicate effectively in person, by phone, and via electronic means.
Required Knowledge, Skills, and Abilities
- Education: Undergraduate degree in Accounting or strong accounting knowledge.
- Experience: 2+ years of accounting experience, with AP/AR experience
- Required: Experience with accounting software and advanced proficiency in Microsoft Excel, including pivot tables and advanced lookup functions (XLOOKUP, VLOOKUP).
- Preferred: Familiarity with Sage Intacct, Bill.com, Blackbaud Tuition Management, Veracross, and/or Divvy.
- High level of organization and autonomy with excellent oral and written communication skills.
