Youth Enrichment Services Inc. (YES) is a $2M non-profit corporation headquartered in Boston whose mission is to inspire youth through outdoor experiences and leadership opportunities that build confidence and prepare them to summit life’s challenges. Founded in 1968, YES provides opportunities to develop self-confidence and leadership skills through participation in outdoor activities. Position Overview
The Operations Administrator will support the transition and ongoing operations of the YES headquarters in a new, state of the art building located in Jamaica Plain. This role will oversee day-to-day administrative and functional activities, including ensuring compliance with safety, quality, and regulatory standards and a safe, well-maintained work environment. This position will have a key understanding of the mission of YES, ongoing programs, and community resources, interfacing with visitors, guests, vendors, and other stakeholders. The most critical responsibilities of this role are facility maintenance related, and ideal candidates will also have experience with the community. This position is supervised by the Director of Programs & Operations and is full-time and in-person.
Duties and Responsibilities
- Contribute to YES’s mission by ensuring safe and streamlined facility operations, including oversight of all maintenance and repair needs and acting as organization’s lead for building vendors, contractors, and suppliers.
- Coordinate preventive maintenance schedules and facility-related services & contracts, including inspections, janitorial, landscaping, and security providers.
- Maintain records related to inspections, permits, certifications, and compliance activities.
- Assist in creating and executing Emergency Preparedness Plans and Continuity of Operation Plan (COOP).
- Responsible for all building security tools and procedures to ensure the safety of the building.
- Facilitate monthly safety meetings and trainings related to building operations and procedures.
- Schedule tours, meetings, and events utilizing space in the building to potential partner and community members.
- Maintain office supplies, mail and deliveries, and oversee front-desk reception (ensuring coverage when needed) and support onboarding of new employees.
- Collaborate with fellow staff members to schedule and implement YES’s active calendar of events including fundraising, recruitment and community events, as well as volunteer training and appreciation nights.
- Serve as a liaison between staff, volunteers, and community members to foster relationships and promote programs.
- Provide in-person and administrative support to programs as scheduled and necessary.
Desired Qualifications
Ideal candidates should have prior experience overseeing facilities and contracts, and general knowledge of operational standards for organizations, preferably youth non-profits or community centers. Other requirements include:
- Demonstrated professional experience; certifications in facility or project management or college degree are a plus
- Demonstrated ability to take direction, act independently, and set priorities in a multi-task setting
- On site full-time, flexible schedule that will include frequent evenings and weekends
- Proficiency with Microsoft Office suite and internet/communication/software platforms
- Professional discretion when handling sensitive information
- CPR/First Aid certified (or able to obtain certification within 45 days of hire date)
- CORI/SORI Background check will be administered
