    Young Audiences’ Operations Coordinator plays an important role supporting behind the scenes functions that lead to students having creative arts experiences with YA artists. Reporting to the Senior Director of Finance and Administration, the Coordinator is highly collaborative, manages multiple priorities and covers a diverse set of responsibilities, so that no two days are the same, and growth experiences are built in. The ideal candidate is a problem solver and team player, and can prioritize responsibilities in response to the needs of the day. A high degree of attention to detail, thoroughness, technical aptitude, and organization are needed for success in this role.

    Support Finance and Administration (50%)

      • Retrieve and manage incoming mail
      • Process weekly receipts and deposits in Quickbooks and Salesforce
      • Bimonthly payroll: report generation and data entry
      • Administer artist contracts; maintain documentation in Salesforce and payroll system
      • Support President & CEO with scheduling, planning and other tasks as needed
      • Support additional finance functions as needed

    Programming and Education Department Support (40%)

    • Enter contracts (Salesforce) for school programs, supporting Programming and Education departments
    • Survey support: create, distribute and collect surveys needed for grant reporting and assessment.
    • Coordinate delivery and completion of final reports by school partners, needed for grant reporting and assessment.
    • Coordinate documentation and photo permissions, needed for grant reporting and marketing

    General Office Support (5%)

      • Maintain office supplies and office equipment
      • Manage catering and supplies for staff events

    Contribute to YA Initiatives (5%)

    • Contribute to Young Audiences’ ongoing efforts to improve in relation to diversity, equity, inclusion and access, according to YA’s Arts United Plan.
    • Participate in organization-wide events (2-4x/year)
    • Other duties to contribute to YA’s organizational goals as assigned

    Qualifications:

    • 3-5 years administrative or operations experience in education, the arts, nonprofit or other relevant fields
    • Accounts payable/receivable experience.
    • High attention to detail, strong organizational skills and time management.
    • Proven experience managing multiple projects.
    • High degree of discretion, confidentiality, and adherence to privacy policies.
    • Software Applications:
      • QuickBooks, Excel, Microsoft Office Suite, and Google Suite required, with opportunity to learn more on the job.
      • Experience with Salesforce desired.
    • All YA staff must have a commitment to anti-bias, anti-oppression, anti-racist practices in education.
    • All YA staff must have an abiding belief in the value of the arts as an essential component of education.

    Work occurs during YA office hours (8:30-4:30, M-F) on a regular schedule. YA is a hybrid work environment. During provisional first three months of employment, in office requirement will be 3-4 times/week in our Princeton NJ office. After provisional three month period, in office requirement will be minimum 2 days/week.

    This position requires significant computer usage for email communications, Zoom/Teams meetings, and the operations functions of the role. To the best of our ability, YA provides workspaces as requested by each individual staff person to support their comfort, productivity and wellbeing.
