    Status: Full-Time, Exempt (In-Person)

    Schedule: On-site 5 days per week - Sunday, Tuesday, Wednesday, Thursday, and Friday.

    Flexibility required for high holy seasons and special events; no remote option available.

    Job Brief

    The Executive Assistant provides high-level administrative, organizational, and ministry support to the Lead Pastor and Executive Pastor. This role requires exceptional judgment, emotional intelligence, spiritual maturity, and the ability to manage multiple priorities in a dynamic and mission-driven church environment. Serving as a connective thread between pastoral leadership, staff, ministry teams, congregants, and community partners, the Executive Assistant ensures that the pastoral office operates with excellence, clarity, compassion, and cultural integrity.

    Role Objective

    Support the Lead Pastor and Executive Pastor with professionalism, confidentiality, and pastoral sensitivity—strengthening their ability to lead, shepherd, and advance the mission and vision of St. Paul Community Baptist Church.

    Key Responsibilities

    Pastoral & Administrative Support

    • Manage highly sensitive and confidential matters impacting pastoral

    leadership and church operations.

    • Draft and prepare pastoral communications, board materials, service

    notes, ministry announcements, and sermon-related documents.

    • Screen calls, emails, and requests with discernment, warmth, and

    professionalism.

    • Maintain organized files, records, and ministry documentation.
    • Support pastoral engagement with congregants, leaders, and external

    partners.

    • Welcome guests, visiting clergy, and partners with sacred hospitality.

    Scheduling & Logistics

    • Manage complex calendars for the Lead Pastor and Executive Pastor.
    • Coordinate travel, itineraries, and conference logistics.
    • Prepare expense reports and reimbursement documentation.
    • Anticipate scheduling needs and resolve conflicts proactively.
    • Coordinate pastoral-led meetings, retreats, and leadership gatherings.

    Communication & Coordination

    • Serve as a primary point of contact and representative for the pastoral

    office.

    • Draft internal memos, leadership updates, and external correspondence.
    • Maintain contact lists and ministry partner databases.

    Worship & Ministry Support

    • Assist with preparation for worship services and church-wide initiatives.
    • Provide logistical support during liturgical seasons and major

    productions.

    Project & Information Management

    • Support in material by preparation, conducting research, and summary

    reports.

    • Support or lead special projects, outreach efforts, and strategic initiatives.
    • Handle ad-hoc assignments with urgency and cultural awareness.

    Skills and Qualifications

    • Bachelor's degree preferred; equivalent professional experience will be

    considered.

    • Minimum of 5 years of executive assistant or senior

    administrative experience (in ministry or nonprofit settings

    strongly preferred).

    • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel,

    PowerPoint).

    • Familiarity with AI tools and platforms such as Gamma and Flipbook.
    • Strong written and verbal communication skills.
    • Exceptional time management and organizational abilities, with keen

    attention to detail.

    • Demonstrated flexibility, including availability on Sundays, evenings, and

    during special events and holy seasons.

    Level of Language Proficiency

    Proficient and Fluent in English.
