    Description

    Purpose

    The Operations Manager works closely with the Executive Director to ensure the organization’s daily operations run smoothly and efficiently. This role oversees operational systems, human resources, and organizational resources to support staff, programs, and strategic goals. Responsibilities include supervising staff, managing onboarding and personnel processes, overseeing internal systems and assets, and ensuring compliance with organizational policies and employment regulations.

    The Operations Manager leads the development and maintenance of policies and procedures, including HR policies and staff handbooks, and collaborates across departments to address operational needs and support strategic initiatives. This role requires strong leadership, problem-solving skills, and a commitment to fostering a collaborative, inclusive work environment aligned with L.O.V.E.’s mission and values.

    Major Responsibilities

    • Oversee daily operations to ensure efficiency and effectiveness
    • Provide leadership and support to staff
    • Lead and manage core human resources functions
    • Streamline processes and improve workflows
    • Manage the allocation and use of financial, human, and physical resources
    • Develop, implement, and maintain policies and procedures
    • Coordinate activities across departments to support strategic initiatives
    • Monitor, track, and analyze performance metrics
    • Support NYC government contract administration
    • Support fundraising and grant management efforts
    • Foster a collaborative and productive work environment

    Key Activities

    • Provide day-to-day operational leadership and supervision to L.O.V.E. staff
    • Perform check-ins to assist staff in setting clear goals and desired outcomes
    • Conduct annual growth reviews and performance evaluations
    • Support in processing of grants and contracts
    • Coordinate the hiring process including job postings, screening of resumes, organizing candidate interviews, and new hire on-boarding, in compliance with organizational HR policies
    • Develop strategies to support professional development opportunities for team members
    • Help promote an organizational culture that encourages top performance and high morale
    • Support with New York City government and donor contracts, ensuring compliance and fulfillment of terms
    • Organize and audit programmatic metrics and data on an ongoing basis, including reporting required by funders and city agencies
    • Support the planning and execution of the annual fundraising event

    Desirable Knowledge and Skills

    • A successful track record in setting priorities with organization and problem solving skills that enable sound decision-making
    • Knowledge of human resources management, including hiring, performance management, and staff training and development
    • Ability to take initiative, interact well with people and work collaboratively
    • Ability to conduct research, organize information, and communicate concepts clearly and succinctly
    • Ability to manage and track multiple tasks and to meet deadlines
    • Experience with New York City government contracts, compliance, and reporting
    • Proficient in use of Salesforce, Google Drive software or equivalent (i.e., Doc, Sheets, and Slides or other text editing, spreadsheet and presentation software)
    • Background in subject areas such as business, education, psychology, sociology, development of girls and youth, cross-cultural studies

    Minimum Qualifications

    • B.A. degree or higher from an accredited college or university
    • Demonstrated experience in organizational development and personnel management and financial/budget administration.
    • Experience supporting or managing government contracts, preferably within New York City
    • Passion and interest in L.O.V.E.’s empowerment mission
    • Demonstrated competency working with diverse and under-resourced communities
    • Experience working with girls, youth and/or in educational programs
    • Ability to pass a background check
