National Headquarters (NHQ) supports the work of The Salvation Army across the United States and internationally by providing leadership, resources, and strategic support to territorial and local operations.

    The Administrative Specialist, Donor Care, serves as a full-time donor care professional and administrative support for two key fundraising initiatives – Compass and SAWSO. This position is responsible for accurate and timely donation receipting, donor data entry, and responding to inquiries related to gifts, receipts, and donor records. This role plays a critical part in ensuring a positive donor experience through consistent, detail-oriented donor care and administrative support for fundraising operations.

    Key Responsibilities

    • Provides donor care and administrative support for significant NHQ fundraising initiatives, including the Global Fundraising initiative (Compass) and SAWSO
    • Coordinates, prepares and distributes donation receipts, acknowledgements and donor communications in accordance with donor care standards and timelines.
    • Accurately enters, updates, and maintains donor and gift records in the Salesforce database; reviews data for completeness and resolves discrepancies as needed.
    • Serves as the primary point of contact for donor inquiries related to receipts, acknowledgements, gift confirmation, and donor records, responding professionally and tactfully via telephone, email, and written correspondence.
    • Coordinates with Finance, Advancement, and other NHQ staff to research and resolve donor-related questions or issues and ensure proper documentation of gifts.
    • Assists with responding to mail and telephone inquiries received at NHQ, directing questions, concerns, or complaints to the appropriate Salvation Army units or leadership.

    OTHER RESPONSIBILITIES:

    • Answers telephone calls and responds to inquiries courteously while providing information related to NCRD services and operations as well as with other NHQ departments and Salvation Army units.
    • Serves as the backup​ for front desk coverage as needed per the NHQ “Front Desk and Mail Room Coverage” policy. The Receptionist greets, assists, and provides direction and information to clients, visitors, and other guests of the organization and assists callers and visitors by answering questions and directing calls appropriately.
    • Assists with administrative tracking, documentation, and process improvements, particularly related to donor care workflows.
    • Provides support to NCRD Leadership Team members or other NCRD projects as assigned.
    • Other duties as assigned.

    Qualifications

    Required

    Education & Experience

    High school diploma or GED equivalency supplemented by experience working in an administrative, donor services, fundraising support, or customer service, or office environment and experience performing a wide variety of administrative and technical support duties characteristic of the office or section’s purpose,

    or

    any equivalent combination of education, training and experience which provides the required knowledge, skills, and abilities.

    Preferred

    • Experience utilizing databases; donor or CRM database experience preferred; Salesforce experience especially preferred.
    • Ability to use Microsoft Office, particularly Word and Excel, for correspondence and mail merges; ability to learn and become proficient in other software applications utilized in this role.
    • Strong attention to detail with the ability to proof one’s own work for accuracy and completeness.
    • Ability to organize, prioritize, and manage multiple, recurring projects with deadlines.
    • Strong customer service orientation with the ability to communicate clearly, professionally, and tactfully with donors and staff.
    • Ability to handle sensitive and confidential donor information with discretion and sound judgment.
    • Knowledge of general office principles, practices and procedures.
    • Excellent knowledge of English grammar, spelling and punctuation.
    • Ability to analyze information, determine appropriate responses, and identify efficient methods to accomplish work objectives.
    • Ability to establish and maintain effective and professional relationships with NCRD staff, NHQ departments, and Salvation Army personnel throughout the territories and divisions.
