    Position Summary

    The Campus Coordinator is a key member of Levine Music’s campus team, providing vital in-person support for faculty, students, and families. Serving as the welcoming presence at the campus, the Campus Coordinator ensures an excellent customer experience and smooth daily operations. This position supports the Operations Manager by assisting with front desk responsibilities, new student placement, registration, campus logistics, and event support. The ideal candidate will be enthusiastic, detail-oriented, and possess strong communication and organizational skills. An interest in music and education is preferred.

    Duties and Responsibilities (including but not limited to):

    Customer Service & Enrollment (ActiveNet)

    • Greet and assist students, parents, faculty, and visitors at the front desk.
    • Answer phones, return voicemails, and provide accurate information about Levine’s programs and events.
    • Support prospective families with placement, registration and course inquiries.
    • Process payments and resolve registration issues using ActiveNet.
    • Assist with data entry in ActiveNet.
    • Maintain accurate and up-to-date knowledge of Levine’s offerings as listed on the website and marketing materials.

    Campus Operations & Administrative Support

    • Maintain campus schedules, including room reservations.
    • Responsible for a dedicated list of faculty bookings and attendance.
    • Check and update phone lists, mailboxes, and shared documents for campus faculty.
    • Submit piano tuning requests and other facility-related support items.
    • Provide administrative assistance to faculty and students regarding technology and general inquiries.
    • Assist the Operations Manager with special projects and daily administrative tasks.

    Event & Program Support

    • Support on-site logistics for concerts, student recitals, lectures, and other campus events.
    • Prepare and distribute recital programs.
    • Coordinate warm-up rooms, equipment setup, and signage for events.
    • Provide staffing coverage for campus events and programs during assigned evenings and weekends.

    Qualifications

    • 2+ years of experience in a nonprofit, educational, arts, or customer-facing environment — or equivalent experience as a student in higher education.
    • Excellent customer service and interpersonal skills.
    • Strong verbal and written communication abilities.
    • Highly organized and detail-oriented, with the ability to manage multiple tasks and meet deadlines.
    • Comfortable working both independently and as part of a team.
    • Proficiency with Microsoft Office (Word and Excel); ability to learn new systems quickly.
    • Experience with registration or scheduling software (such as ActiveNet) is a plus.
    • The ability to troubleshoot basic technology issues is a plus.
    • Ability to lift and move chairs and foldable tables weighing up to 35 pounds, and move large musical instruments for the purposes of campus events, with or without reasonable accommodation.

    Salary range: $40,000 – $43,000
