Join our team in a rewarding part-time role that offers the flexibility to work from home while making a meaningful contribution to our mission. This primarily remote position averages 15 hours per week and is ideal for someone who enjoys staying organized, building relationships, and supporting important work in a flexible environment. Occasional in-person meetings or events may be part of the role.

    About Us

The SATB2 Gene Foundation was established to enrich the lives of individuals with SATB2-Associated Syndrome (SAS), including those diagnosed with the condition and their families, through support, research and education. We serve a global community of families living with SAS, with families located across the United States and abroad.

    About the Role

We are seeking a highly organized, dependable, and tech-savvy Nonprofit Operations & Communications Coordinator to provide ongoing administrative, communications, and donor database support, along with assistance with programs and special projects for our small nonprofit organization.

This is a hands-on role that is ideal for someone who enjoys working across a variety of areas, is comfortable learning new systems, and takes pride in keeping information accurate, organized, and up to date.

The position will work closely with the Executive Director and, as appropriate, board members and volunteers. Because we are a small organization, flexibility and a willingness to pitch in where needed are important.

    Key Responsibilities

    Social Media & Communications

    • Schedule and publish social media content across organizational platforms.
    • Create and maintain a simple social media/content calendar.
    • Conceptualize the design and create social media posts, including the copy, layout, visual direction, Canva-ready dimensions, and a cohesive campaign style.
    • Assist the Executive Director with creating and producing print and digital materials, including brochures, executive summaries, fundraising materials, program materials, newsletters, and other communications.
    • Provide content support, by gathering, organizing, and adapting existing content for use across different audiences and channels.
    • Monitor basic engagement and flag questions or issues requiring follow-up.
    • Assist with email communications, newsletters, and other routine communications as needed.

    Donor & CRM Administration

    • Maintain accurate and up-to-date donor and contact records in the organization’s CRM.
    • Enter and update donations, pledges, contact information, and other donor activity.
    • Ensure gifts and other amounts received are appropriately recorded and designated.
    • Run routine donor and fundraising reports.
    • Prepare and mail out donor acknowledgments and thank-you communications.
    • Reconcile donor records with information from fundraising platforms and other sources.
    • Assist with year-end donor reporting and information needed for the organization’s annual tax filing.

    Program Support

    • Family Support: Provide administrative support for family support programs, including scheduling video meetings, coordinating with hosts and speakers, managing registrations, and assisting with meeting logistics.
    • Event Planning: Assist with the planning and execution of Foundation events, including the biennial Family & Medical Conference. Support the Executive Director with advance planning, agenda development, hotel coordination, registration, and other event logistics.
    • Awareness Campaigns: Support the Executive Director and Board with awareness and education initiatives, including coordinating timelines and materials, organizing information, and assisting with communications and outreach activities.
    • Grant Programs
      • Provide administrative support for the Foundation’s grant programs, including travel grants, family assistance grants, research grants, and other grants awarded by the Foundation.
      • Maintain accurate grant records, track applications, awards, payments, and reporting requirements, collect and organize receipts and supporting documentation, follow up with grant recipients as needed, and assist with grant reconciliation and reporting.

    General Operations & Administrative Support

    • Provide basic administrative support to the financial service provider, including gathering documentation, maintaining records, and assisting with routine financial follow-up, while the service provider remains responsible for bookkeeping and financial administration.
    • Provide administrative support for board meetings, including scheduling, preparing meeting materials, and coordinating logistics; assist with collecting and organizing data for Executive Director reports.
    • Assist with occasional website updates, including refreshing content, adding resources, and keeping information current and accessible.
    • Maintain organized digital files, records, and administrative information.
    • Maintain contact, volunteer, and other organizational lists.
    • Support online forms, registrations, spreadsheets, and other administrative systems.
    • Assist the Executive Director and board committees with special projects and recurring administrative needs.
    • Provide general administrative support as priorities evolve.

    Systems & Process Improvement

    • Identify opportunities to make recurring administrative tasks more efficient.
    • Help streamline processes and improve the flow of information between the organization’s CRM, fundraising platforms, email, and other systems.
    • Document basic procedures to improve consistency and organizational knowledge.
    • Assist with simple automation and technology improvements where appropriate.

    Qualifications

    • At least 3 to 5 years of relevant professional experience
    • Strong organizational skills and exceptional attention to detail.
    • Comfortable working independently and managing multiple priorities.
    • Experience with social media platforms and basic digital communications.
    • Experience with a donor database/CRM; Little Green Light is a plus.
    • Strong computer skills, with willingness to learn new technology and systems.
    • Proficiency in Canva, with the ability to create and edit visually engaging materials independently.
    • Strong written and verbal communication skills.
    • Ability to handle confidential donor and financial information appropriately.

Success in this role means that the organization’s day-to-day systems are accurate, organized, timely, and increasingly efficient. Donor information is well maintained, communications and materials are prepared consistently and on time, program and grant support is dependable, and the Executive Director, Board, and volunteers can rely on having the information and administrative support they need.
