We are seeking an organized, tech-savvy Administrative Assistant to support our Executive Director.
Position Summary
The Administrative Assistant provides administrative and data support to the Executive Director. Mostly working from home on a flexible schedule however some in person meeting is required. Applicant must be mobile in order to commute to Irvine at least twice a week in order to collect mail.
Donor Management
- Collect and process mail from the organization’s PO Box in Irvine on a weekly basis.
- Accurately enter, update, and maintain donor and gift records in the donor database, ensuring confidentiality at all times.
- Process donations and generate acknowledgment and thank-you letters in a timely manner.
- Maintain ongoing communication with donors to support strong relationships.
Fundraising
- Assist with fundraising events, including pre-event planning and day-of event support.
- Manage check deposits and maintain accurate digital and paper-based fundraising records.
Administrative Support
- Track expenses and assist with monthly accounting processes.
- Provide general administrative support as needed.
Qualifications and Preferred Skills:
- Strong attention to detail and organizational skills
- Non Profit Experience is preferred.
- Experience with donor databases such as Donor Perfect and Constant Contact is preferred
- Proficiency in Google Docs and Excel
- Ability to handle confidential donor information with professionalism
- Prior nonprofit or fundraising experience
- Basic research skills and data analysis
- Strong written and verbal communication skills
