Office Coordinator
STATUS: Full-time, Non-exempt
REPORTS TO: Director of Communications
ABOUT: FirstPres Church of Hayward (FPCH) is a historic congregation and missional community striving to love our world well. Guided by our core beliefs and a commitment to anti-racist practices, we seek to fulfill our mission by serving our community through our four areas of ministry: Community Outreach (homeless shelters, food pantry, Recovery Cafe, and more), Church Life (congregational ministry engagement), HGG Childcare Center, and The Chabot Theater.
DESCRIPTION: The Office Manager will play a key role in supporting the daily operations of FirstPres Hayward. This position requires strong organizational skills, a welcoming presence, and a commitment to serving diverse communities. This position will be expected to spend part of each day at HGG Childcare Center (same campus).
RESPONSIBILITIES:
Office Management
- Serves as the “first face” of FirstPres, in person and on the phone, greeting community members and visitors and directing them as needed.
- Maintains all office processes, policies, and procedures.
- Receives and processes all mail and deliveries.
- Receives and directs all donation deliveries and dropoffs.
- Manages office volunteers and tasks with appropriate assignments.
- Maintains all organizational calendars.
- Receives, communicates, and manages all building use requests.
- Manages and maintains the congregational database (Planning Center).
- Supports the administrative functions of the church, including but not limited to the purchase of office furniture, maintaining equipment and supplies, and direction of administrative workflow (printing, publishing, and mailings).
- Organizes and maintains the main office area and related storage supply areas.
IT Support
- Supports staff with basic IT needs, and liaisons with IT support as needed.
- Supports Director of Communications with device management.
QUALIFICATIONS
- High school diploma or equivalent.
- 2+ years of experience in administrative support.
- Proficiency in Microsoft Office, Google Suite, and ability to learn data systems.
- Strong interpersonal and organizational skills.
- Ability to maintain professional boundaries.
- Teachable spirit and ability to work well in diverse teams.
- Bilingual (English/Spanish) preferred.
