    Description

    Girl Vow is seeking a full-time detail-oriented and dependable Administrative Assistant to support our day-to-day operations. This is an excellent opportunity for an early-career professional who is eager to gain hands-on experience at a non-profit, mission driven organization.

    This person in this position will provide administrative and coordination support to the Executive Director and team. This administrative role manages calendars and email communications, assists with financial reporting, and provides miscellaneous support to both the Executive Director and team members. The ideal person will enjoy ensuring daily operations run smoothly.

    Key Responsibilities

    • Assist with scheduling meetings and maintaining calendars for the Executive Director and team.
    • Monitor email and help route or respond to routine administrative inquiries.
    • Send reminders to team members regarding deadlines and outstanding tasks.
    • Provide administrative support for grant-related documentation, including organizing materials and assisting with data entry.
    • Collect information from team members to support reporting and ensure timely submission of required materials.
    • Assist with processing timesheets, invoices, and expense documentation for review.
    • Support onboarding logistics by setting up basic systems access (e.g., email, shared drives).
    • Maintain and organize digital files and records within Google Drive.
    • Assist with preparing internal reports and basic tracking documents.
    • Draft and format emails, documents, and correspondence as needed.

    Qualifications

    • Bachelor’s degree or equivalent administrative assistant experience.
    • 2 years' experience in administrative, executive, or operations support.
    • Experience providing administrative support in a non-profit environment preferred.
    • Experience providing administrative support to senior leadership.
    • Experience managing calendars, email communications, and scheduling.
    • Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar).
    • Microsoft Excel (basic reporting, tracking, formatting) a plus.
    • Strong organizational skills with the ability to manage multiple priorities and deadlines
    • Excellent written and verbal communication skills
