    Job Summary

    exalt is seeking a Program Administrative Assistant as part of a board endorsed strategic plan for expansion into Syracuse, NY. The Program Administrative Assistant will be responsible for supporting the program team with the administrative, logistic, and general office wide support of exalt’s Syracuse location at 224 Harrison Street. This candidate will be responsible for promoting efficiency within the organization and maintaining structure to day-today operations. The ideal candidate is passionate about youth development, enjoys working with young people, is enthusiastic, highly organized, detail-oriented, process driven, and technologically savvy. They will be able to masterfully handle multiple projects at the same time and shift gears as needed to accommodate the organization’s evolving needs. They will possess a positive, can-do attitude and thrive in a fast-paced organization, understanding the execution of their responsibilities in the space. The candidate must understand that contributing to the order, structure, safety, and excellence of our physical setting is essential to how we deliver on our mission.

    Overall Responsibilities Include:

    • Support office through directing calls and greeting all young people and visitors.
    • Manage flow of traffic and capacity limits for young people and staff in the space as well as ensure all are adhering to public health and safety protocols.
    • Coordinate daily program transportation logistics for participants in all active program cycles
    • Develop, maintain, and coordinate office procedures and administrative systems.
    • Provide administrative and logistical support for donor, team meetings, and events.

    Specifically, the Program Administrative Assistant will:

    • Be present in office 11am-7pmMonday to Friday
    • Greet and assist program participants and visitors to the office, support students in the space by conveying organizational guidelines and expectations.
    • Manage flow of student traffic to and from classrooms and restrooms and monitor space to ensure that organizational standards and expectations are being held in all common areas connected to exalt office.
    • Facilitate payroll process for weekly participant stipends
    • Set-up and shut down office for incoming and outgoing staff and program participants daily, including all operational and administrative tasks needed, specific to each day.
    • Facilitate management of all office spaces and classrooms, order program team supplies, and maintain excellent office organization standards.
    • Assist with administrative tasks and projects as needed.

Ability to work efficiently in a fast-paced environment.
    • Communication: Clearly, effectively, and efficiently conveys and receives information and ideas. Demonstrates excellent written, oral and listening skills. Welcoming and approachable demeanor.
    • Cultural sensitivity: Has strong familiarity with and understanding of or is committed to learning about exalt students’ histories, cultures, and the socio-economic and political factors which have shaped those.
    • Adaptability: Able to adapt quickly to new information and unexpected deadlines and obstacles. Approaches change positively.
    • Technological experience: Familiarity with Microsoft Office365, Google Suite, Salesforce, Macs, PCs, Chromebooks, Zoom, Photoshop, Adobe, or media applications preferred.

    Required Skills and Abilities

    • Knowledge of standard safety protocols and procedures.
    • Ability to identify potential safety threats.

    Minimum Qualifications

    • High School Diploma with relevant work experience required, Bachelors preferred.
    • Demonstrated organizational and administrative skills and experience.
    • Strong youth development experience

    Preferred Qualifications

    • Familiarity with the youth justice field
    • Knowledge of emergency response protocols, crisis management, and effective conflict resolution skills
