The Mary Valle Foundation (MVF) is a charitable 501c3 organization with the specific mission to support Ability Now Bay Area, primarily through an annual grant, and management of the property on which ANBA operates. The organizations collaborate as supporting and supported entities, with boards that maintain an open and constructive dialogue aimed at advancing ANBA’s mission.
Description
Are you passionate about leadership in philanthropy, and ready to step into a highly collaborative foundation coordination role? We are seeking a friendly and dynamic Foundation Coordinator to liaise between the Mary Valle Foundation, Ability Now Bay Area, and the active and energized boards for each organization. In this role, you will assist the MVF President and Board of Directors in coordinating all aspects of Foundation operations and board activities. Specifically, this role coordinates MVF Board meetings and committees, MVF activities in collaboration with the ANBA board, MVF responsibilities as property owner of ANBA’s premises at 4500 Lincoln Avenue, and regular MVF financial reporting and oversight activities. Through a shared services agreement, Ability Now Bay Area is the employer of record for this position and will manage all aspects of hiring and management for the Foundation Coordinator.
As the primary liaison between Mary Valle Foundation and Ability Now Bay Area, and a key member of the ANBA organizational leadership team, you will collaborate with MVF
stakeholders and ANBA’s board, participants, and staff to ensure stewardship of the Foundation’s resources and their effective deployment in support of the mission, participants, and goals of Ability Now Bay Area. This part-time, highly flexible position enables broad impact for the Foundation’s support of Ability Now Bay Area, and promotes a high-functioning relationship between the two entities.

Responsibilities
- Implement filing and records management strategy to ensure Mary Valle Foundation’s board members and partners can effectively access information with appropriate transparency, confidentiality, and efficiency.
- Prepare MVF’s annual Board calendar, meeting documents, committee documents, board membership and succession records, and provide technical support for board meetings.
- Ensure effective management of the MVF annual grant to Ability Now Bay Area, from budgeting to disbursement to reporting and any necessary follow-up.
- Serve as liaison with the MVF Investment Policy Advisors, ensuring regular reporting to the MVF Board and Investment Committee, and providing any needed support for banking and investments.
- Assist in recruitment and engagement of MVF’s property management firm and serve as primary point of contact for property management with this firm and any contractors or subcontractors, as well as Ability Now Bay Area, ensuring adequate notification and excellent communication surrounding any work to be done on the property.
- Ensure MVF fulfills its duties as landlords per the terms of the MVF-ANBA lease, and maintain a positive and effective landlord-tenant relationship with ANBA to support property management, tenant satisfaction, and mutual accountability in fulfilling the terms of the MVF-ANBA lease.
- Assist MVF’s board in the preparation of annual budgets for the Foundation, and ensure timely coordination with ANBA’s annual budget process, to support MVF’s annual grant cycle to ANBA.
- Ensure timely preparation and submission of all annual compliance filing in coordination with MVF’s Treasurer and Board; manage annual audit process with MVF’s Treasurer.
- Initiate setup of bookkeeping systems for MVF, and ensure effective monthly bookkeeping, accounts payable, accounts receivable, check runs, approvals, and reporting for MVF finances.
- Ensure timely submittal, approval, and/or signatures for invoices, requests for reimbursement, and checks between ANBA and MVF.
- Provide regular monthly reports to MVF and ANBA Board Presidents on the activities of the Mary Valle Foundation.
- Assist MVF President in retaining legal counsel and act as primary point of contact for MVF’s legal counsel, ensuring transparent and direct reporting and communication with MVF President on all legal matters.
- Train on administrative aspects of working at Ability Now Bay Area, including First Aid/CPR and all required workplace trainings.
- Attend community events and activities to provide support for MVF Foundation.
Requirements
- A minimum of 5 years of experience in nonprofit management, nonprofit finance, fund development, and/or philanthropy.
- A minimum of 3 years’ experience working with nonprofit boards as a primary or secondary liaison.
- Bachelor’s degree in Nonprofit Management, Social Work, Public Administration, or a related field is preferred.
- Strong understanding of legal, insurance, and real estate agreements, contracts, policies, and procedures.
- Strong understanding of foundation bookkeeping and/or accounting.
- Proven ability to manage budgets and financial resources.
- Exceptional digital skills including use of Office365, Sharepoint, Adobe Creative Suite, Little Green Light, Quickbooks, or similar platforms for workspace management, CRM, accounting, digital design, social media, and communications.
- Exceptional leadership, organization, and public speaking skills.
- Savvy in handling calls, emails, and other requests from board members, leaders, and Foundation stakeholders, with exceptional prioritization of tasks and responsiveness to questions and projects.
- Self-driven, collaborative, and astute in communication with professionals who are in partnership or contract with Ability Now Bay Area and Mary Valle Foundation.
- Excellent written and verbal communication and interpersonal abilities, including a capacity to coordinate in-person and remote work by multiple collaborators and stakeholders.
- Passion for community service and a commitment to the mission of the organization, experience with the IDD community preferred.
- This job is hybrid, with an expected 8 hours/week on site at ANBA, and additional hours working from home or remote.
- Reliable transportation and a valid drivers’ license are required.
- Bilingual English/Spanish is a plus.

Requirements for Employment
- Submit to a current physical examination and tuberculosis screening.
- Provide a copy and maintain a current California driver’s license, submit a DMV clearance, and a copy of current insurance certificate for personnel file
- Maintain a current CPR certification
- Current fingerprint clearance (prints must be sent to the Department of Justice within four days of hire)
- Sign a Form I-9 and provide all required documentation
- Sign Ability Now Bay Area Safety Policy Statement
