Office Assistant Job Description
Part-Time, 30 Hours per Week
Location: Remote
Pay Range: $26 - $31/hour
The Office Assistant provides administrative and operational support to help the organization run smoothly day to day. This role keeps team projects on track through clear dashboards and tracking systems, serves as a friendly and responsive point of contact for community and member questions, and supports general office systems and coordination.
This position is well suited to someone who is organized, detail-oriented, and comfortable both working with data/tracking tools and interacting directly with members or customers. The Office Assistant helps keep projects visible and on schedule while making sure community members feel heard and supported.
Key Responsibilities:
Administrative Support:
- Prepare materials and coordinate logistics for meetings, including board meetings
- Track follow-up actions from meetings and help ensure they're completed
Project Tracking & Dashboards:
- Set up and maintain dashboards to track key team projects and their status
- Keep project trackers current by following up with team members on progress and deadlines
- Flag delays, blockers, or upcoming deadlines to the relevant team members
- Compile regular summaries of project status for team and leadership updates
Community & Customer Service:
- Serve as a primary point of contact for member and community inquiries
- Respond to incoming questions via email, phone, or other channels in a timely, friendly manner
- Track and follow up on open inquiries to ensure timely resolution
- Escalate complex or sensitive issues to the appropriate staff member
- Maintain a log of common questions and help keep FAQ or support resources up to date
Office & Operations Support:
- Maintain organized files, records, and documentation systems
- Track key renewal, compliance, and contract deadlines and flag them in advance
- Assist with basic vendor coordination (ordering supplies, scheduling service visits, etc.)
Event & Course Listings:
- Create and publish listings for events and courses for sale on the website or registration platform
- Ensure listings include accurate pricing, dates, descriptions, and registration details
- Coordinate with team members to confirm listing details are correct before publishing
Qualifications:
- Strong organizational skills and attention to detail
- Comfortable managing multiple tasks and deadlines
- Proficient with standard office and productivity software (spreadsheets, documents, project tracking or dashboard tools)
- Friendly, patient, and professional communication style for member/customer-facing interactions
- Clear written and verbal communication skills
- Discreet and trustworthy with sensitive information
- Prior administrative, customer service, or office support experience preferred
Schedule:
This is a part-time, non-exempt position at 30 hours per week. Specific weekly schedule to be determined in coordination with the Executive Director.
