    Description

    The Southern Maine Worker’s Center is looking to fill the role of Administrative (Admin) Manager. This is proposed as a part-time position, working in collaboration with the full-time staff. The Admin Manager will manage SMWC’s administrative needs as well as serve as a liaison to the board of directors. This position will also be responsible for assisting staff with maintaining compliance with state and federal nonprofit regulations, including coordinating with staff on financial matters. This position will have a one (1) month onboarding process in order to orient to our internal structure. This is a hybrid position (in person/remote) and will require the employee to make regular trips to our office in Portland, ME. This contract position is eligible for extension after the initial six months, dependent on review.

    Duties and Tasks (Initial Draft):

    • In-Person/ Online Office Support (Checking and Cataloging the Mail, Tracking Deliveries, etc.)
    • Depositing & Logging Checks
    • Tracking & Logging Purchases
    • Managing the Member Dues & Donations Process
    • Maintaining the Organizational Email Address and Voicemailbox
    • Online Systems Maintenance (Google Drive, Todoist, CRM)
    • Coordinating with contractors
    • Coordinating Meeting Scheduling with the Board and TransComm
    • Note Taking (Limited to Board and Trans Comm Meetings)

    Required Skills + Experience

    • Strong oral and written communication skills, including the ability to use writing as an organizing tool. Experience in meeting note-taking and summarizing points
    • Strong organizational skills, including data management, email responsiveness, and tracking finances.
    • Experience successfully working both independently and collaboratively within a team
    • A high degree of initiative, resourcefulness, and flexibility, and an ability to prioritize tasks
    • Willingness to seek out support from other staff members if an issue arises and to provide and receive direct critical feedback.
    • Experience in creating and executing a personalized work plan that includes several overlapping deadlines.
    • Strong creative problem-solving skills, including experience solving problems through collaborative decision-making

    Minimum Job Requirements

    • Alignment with SMWC’s political orientation, mission, human rights principles, values, and community agreements.
    • Demonstrated commitment to social, racial and economic justice
    • Ability to work both in-person at SMWC’s Portland, Maine office and remotely via phone and online platforms, such as Zoom.
    • Ability to use Google Suite, and basic data entry skills
    • Availability to work 20 hours per week, including some evenings and weekends to accommodate the organizational calendar.
    • Ability to travel when needed to in and around Portland, Maine

    Benefits

    Paid time off includes 20 vacation days and 10 sick days annually, plus holidays including a full week of office closure between December 24 and the first week of January each year. This position comes with health insurance via Community Health Options and a $600 annual wellness stipend.

    Level of Language Proficiency

    English fluency is required. Language skills beyond English proficiency are a plus, particularly in Spanish, Portuguese, or French.
