Novel Voices Program Manager
Details
Description
Commitment: Part-time (expected commitment of 10 hours per week, with the potential to grow)
About Novel Voices: Project: Music Heals Us (pmhu.org) is a non-profit organization dedicated to providing high-quality, interactive music programming to marginalized and isolated communities. The Novel Voices (NV) program is a key part of our mission, offering live, virtual music lessons and masterclasses to students in under-resourced international communities. Through partnerships with local organizations, we connect talented students with world-class teaching artists, breaking through geographic and economic barriers to provide valuable education and mentorship.
Role Overview: Working closely with the Artistic and Operations Directors, the Program Manager is a dynamic, mission-driven leader responsible for planning, developing, and overseeing all aspects of this global distance-learning program.
Because our remote international operations require tight coordination, the ideal candidate must be a highly proactive facilitator with exceptional task management skills, a proven ability to meet deadlines, and a rigorous commitment to timely follow-up. You will serve as the central point of contact for our international partners and supervise the program's on-site field coordinators and remote teaching artists. The program currently serves 32 students across 3 sites in Africa and the Middle East.
Key Responsibilities:
Program Execution & Operations
- Lead the planning and implementation of the Novel Voices curriculum, including defining and finalizing coursework and benchmarks in collaboration with online instructors.
- Ensure timely execution of all administrative tasks, maintaining strict oversight of program deliverables, attendance tracking, and prompt resolution of lesson scheduling issues.
- Review and manage tracking systems for private and group lessons.
- Manage operational logistics, including space usage agreements, instrument procurement, luthier tool sourcing, and program certifications.
- Enforce rigorous tracking systems for field coordinator hours and receipts, ensuring accurate budget and payroll management.
Site Management & Expansion
- Active Sites (2): Nurture local partnerships to address student needs outside of the classroom, finalize semester/yearly juries and recitals, develop ABRSM test-taking plans for graduating students, and handle in-person inquiries.
- New Site Launch (1): Spearhead the launch of the new site by managing student body selection, securing physical lesson spaces, sourcing instruments, defining the specific teaching curriculum, and formally outlining collaboration specifics with local partners.
- Fully manage international trip planning (1), in-person site visits (1-2), and new cohorts for all locations.
Team Leadership & Partnership Building
- Maintain regular, proactive communication with field coordinators, teaching artists, and international partners via email and WhatsApp, ensuring no communications or follow-ups are dropped.
- Recruit new teaching artists and ensemble coaches for upcoming terms.
- Research and establish strategic partnerships with local non-profits in Kenya and the Middle East to connect students with critical wraparound resources as needed, such as food security, healthcare, and workforce development.
- Research and assemble outside resources on higher education pathways for international students.
- Collaborate with the administrative team on grant proposals and fundraising efforts.
Qualifications
- Bachelor's degree in Arts Management, Education, Non-profit Management, Music, or a related field.
- Minimum of 3 years of progressive experience in program management, preferably within arts education, non-profit, or international development sectors.
- Demonstrated track record of extreme organization, prompt communication, and the ability to drive complex workflows to completion using collaborative project management software (e.g., Asana, Slack).
- Strong leadership skills with experience managing and mentoring diverse teams.
- Exceptional cross-cultural communication and relationship-building abilities.
- Demonstrated experience in budget management and financial oversight within programming.
