Compensation: $71,000 – $78,000 annually, DOE
Job Summary
VACCEB is seeking an experienced and analytical Financial Manager to manage our comprehensive fiscal infrastructure in San Leandro. Reporting directly to the Chief Executive Officer, you will oversee the organization's general ledger, agency payroll, annual budgeting, and strict grant compliance while maintaining robust internal financial controls.
Key Responsibilities
- Full Accounting Cycle Management: Lead and execute the complete accounting cycle, ensuring meticulous transaction recording, ledger integrity, and accurate processing of both financial records and corporate statements.
- Month-End & Year-End Closing: Take full ownership of the timely and accurate execution of month-end and year-end closing processes, including journal entries, adjusting balances, and comprehensive reporting.
- Contract & Budget Compliance: Manage programmatic contracts to ensure strict alignment with budgetary restrictions; prepare and submit timely reimbursement invoices and compliance documents to funding partners.
- Financial Oversight & Strategy: Partner closely with the CEO on financial forecasting, programmatic strategy, and long-term organizational sustainability; proactively flag potential deficits or shortfalls.
- Budget Development: Take ownership of building the agency's annual and semi-annual budgets, finalizing drafts with the CEO for Board of Directors review.
- Fundraising Budget Planning: Partner with operational teams to assist in budget planning for fundraising activities, explicitly developing cost structures and financial budgets associated with proposed scopes of work.
- Banking & Reconciliations: Govern the security and usage of organizational banking accounts, lines of credit, and corporate credit cards; manage full-cycle Accounts Payable/Receivable and monthly ledger reconciliations.
- Audits & Tax Reporting: Serve as the chief liaison for programmatic reviews and audits from public or private agencies; manage the end-to-end process with external CPAs to complete independent audits and the annual Form 990.
- HR & Payroll Administration: Direct human resources operations via ADP systems (onboarding, benefits, insurance tracking, timecard oversight); process semimonthly payroll and execute annual tax forms (W-2s and 1099s).
- System Management: Utilize QuickBooks and advanced Excel models to consistently track fixed assets, ledger distributions, banking controls, and overall agency financial standing.
- External Representation: Arrange and attend meetings with external financial representatives and funding partners, serving as the official fiscal face of VACCEB.
Qualifications
- Education: Bachelor’s degree in Accounting, Finance, or a related field required.
- Experience: 3+ years of progressive accounting experience, ideally in a non-profit setup or dealing with strict contract fund accounting.
- Technical Proficiency: High proficiency in QuickBooks and expert-level Excel capability is required.
- Payroll Systems: Solid background managing full-cycle payroll, employee benefits, and timecard tracking through ADP service suites.
