    Description

    Crushing Colonialism is a small, but growing Indigenous founded and operated non-profit organization (501c3) based in the so-called US that uses traditional Indigenous storytelling as a tool to honor and uplift Indigeneity. We’re currently looking for a part-time Administrative Assistant for an average of 30 hours monthly over two to three days per week for $750 USD monthly. This is a remote position so you must have reliable access to the internet.

    Administrative Assistant manages all admin and human resource functions for Crushing Colonialism. Responsibilities include updating/ maintaining the master password manager. Assisting team members with gaining access to certain shared platforms, programs, email accounts, and services. Providing org email accounts to new team members and facilitating any additional onboarding processes, including obtaining tax documents for filing. Updating/ maintaining all org personnel and human resources lists. Upkeep/ archiving all org files, consultant/ contractor files, financial records saved, zoom meeting videos/ files, and training videos/ files. Monitoring all org email accounts. Scheduling both in zoom and the org calendar platform for various team members. Researching anything for team members per their request.

    Primary Functions and Essential Responsibilities

    • Updating/ maintaining the master password manager, including backup codes and special notes.
    • Assisting team members by providing passwords to shared accounts, etc.
    • Generating org email accounts for new team members and facilitating any additional onboarding processes, including obtaining tax documents for filing and providing links to training materials.
    • Updating/ maintaining all org personnel and human resources lists: Staff Contact Info spreadsheet, Staff Availability Hours spreadsheet, Vendor-Artists/ Performers-Consultant lists, Language and Disability Access lists, etc.
    • Upkeep/ archiving all org files, consultant/ contractor files, financial records saved, zoom meeting videos/ files, and training videos/ files.
    • Monitoring all org email accounts by checking inboxes daily and forwarding any necessary items to the related team members
    • Scheduling both in zoom and the org calendar platform for various team members.
    • Researching anything for team members per their request.
    • Generating info packets and other admin deliverables upon request

    Qualifications

    Education

    • Bachelor's degree or experience equivalent to 5yrs of administrative assistant work

    Required Knowledge

    • Basic understanding of U.S. Non-profit principles and regulations
    • Proficient in the use of MS Office software
    • Proficient in the use of Proton Software
    • Proficient in the use of Asana platform
    • Ability to convert file formats when needed

    Experience

    • Proven experience in a fast-paced environment
    • Work in the non-profit sector a plus
    • Experience in scenarios requiring creative solutions on minimal budgets

    Skills and Abilities

    • Excellent organizational skills with the ability to prioritize and multitask efficiently and quickly
    • Strong analytical and problem-solving abilities
    • High adaptability as procedures evolve
    • Ability to troubleshoot issues independently as they arise
    • Can work under pressure and maintain a professional level of detachment

    Level of Language Proficiency

    Fluent in English. Proficiency in Spanish and Brazilian Portuguese a plus.
