Description
The Travel Coordinator will manage all employee and union member travel needs through the BCD union travel program and approved external travel agents. They will serve as the primary point of contact for travel inquiries, offering clear guidance, timely support, and effective problem resolution. The role includes maintaining accurate records of travel bookings, expenses, and event-related logistics to ensure smooth, well-organized travel experiences across the organization.
RESPONSIBILITIES:
- Fully understand and consistently apply Union travel policies and related procedures.
- Coordinate hotel reservations, transportation, and all travel arrangements through BCD/Concur as well as approved external travel agencies.
- Create and terminate user accounts for Union employees and members in the BCD/Concur platform, and guide users through the travel-booking process.
- Collaborate with BCD representatives and internal teams to streamline processes, including providing training and clear instructions to users.
- Assist with issuing and troubleshooting travel bookings made through BCD/Concur or external agencies, with particular attention to resolving BCD virtual card issues promptly.
- Coordinate and book chartered buses from reliable coach companies for Union events such as rallies, conferences, and delegate assemblies.
- Prepare bus itineraries, manifests, and special requests in advance to ensure smooth logistics, accurate bookings, and strong attendee support.
- Coordinate with the Finance Department on cost reconciliation and receipt management.
- Assist Union members with reimbursement of travel expenses for non-BCD/Concur travel arrangements related to Union events.
QUALIFICATIONS:
- Interest in working within a mission-driven organization.
- Proven experience in travel coordination and customer service.
- Familiarity with travel programs, booking systems, or union policies is a plus.
- Strong organizational and problem-solving skills.
- Excellent written and verbal communication skills, with the ability to explain complex processes clearly.
- Ability to multitask, set priorities, meet deadlines, and follow through on assignments.
- Ability to work independently with minimal supervision.
- Willingness to work overtime when required.
- Professional demeanor with the ability to maintain confidentiality.
- Strong interpersonal and organizational abilities.
