    Description

    The mission of the Trenton Area Soup Kitchen (TASK) is to feed the hungry and offer programs and services to encourage self-sufficiency and improve quality of life for people in the Greater Trenton Area.

    Position Summary:

    The Donor Services Specialist supports the daily operations of donation processing, donor services and reporting within the Development & Marketing Department. Reporting to the Manager of Development Operations & Donor Services (Manager), this role serves as a key, hands-on member of the Donor Services team and includes processing standard and complex gifts, maintaining accurate donor records and assisting with acknowledgment communications. This position plays an important role in assisting with database entry, database management, reporting, reconciliations and special projects. This role will also provide backup support to the Manager to ensure continuity during busy periods and staff absences.

    The ideal candidate is highly organized, detail-oriented and possesses strong verbal and written communication skills. The ideal candidate will be able to work with large data sets and be able to support the day-to-day donation processing while also providing strategic support as necessary. This is a full-time, hybrid, salaried position.

    Job Functions:

    Donation Processing

    • Enter standard donations and assist with the entry of more complex gifts such as donor-advised funds (DAFs), EFTs, stock, employee giving and matching gifts into the donor database with precision and accuracy.
    • Perform regular quality control checks to ensure donor and gift data is accurate, complete, and entered consistently across systems.
    • Research outstanding donations, donor records and acknowledgment issues as needed.
    • Support the acknowledgment process, including reviewing letters for accuracy, updating acknowledgments as needed and customizing acknowledgments as requested
    • Manage and assist with database-related projects including data cleanup, data migration, merging duplicate records, updating addresses and other donor information, system updates, process improvements and creation of special reports and dashboards

    Financial Reporting & Reconciliation

    • Assist with monthly reconciliations between Development and Finance by preparing reports and supporting documentation.
    • Create Excel reports and pivot tables to summarize donation activity for internal use and financial reporting.
    • Support audit preparation and ad hoc reporting requests related to donor and donation data.

    Donor Services

    • As directed, serve as a point of contact for donors, responding to inquiries via phone, email and occasional in-person meetings.
    • Help resolve donation-related questions or issues and assist with customized donor communications when needed.
    • Ensure donor communications are accurate, consistent and aligned with stewardship standards.

    Team & Operations Support

    • Provide backup support to the Manager including supporting daily team operations as needed.
    • As assigned, help establish and maintain written standard operating procedures for donation-related processes. Use procedures to support cross-training and ensure coverage across the department.
    • Continuously enhance skills through on-demand webinars and the DonorPerfect Knowledgebase, focusing on best practices and opportunities for improvement.

    Necessary Skills and Abilities:

    • Self-motivation, flexibility, attention to detail and the ability to successfully handle multiple projects and deadlines
    • Excellent written and verbal communication skills, including the ability to communicate with diverse stakeholders and audiences
    • Commitment to maintaining the confidentiality and integrity of donor information, including personal data and donation histories
    • A growth mindset, willingness to learn and enthusiasm for developing new skills in nonprofit operations

    Required Credentials:

    • 1-3 years of professional experience in development operations, donor services or fundraising, or equivalent experience
    • A strong understanding of nonprofit fundraising strategies and data management best practices preferred
    • Technical proficiency in Excel and CRM systems, and a deep understanding of nonprofit fundraising operations
    • CRM experience required; DonorPerfect experience preferred
    • Experience running donation reports and creating dashboards is a plus
    • Demonstrated experience creating pivot tables, working with large data sets, performing data analysis and using formulas to extract, manipulate and present data
    • Strong understanding of VLOOKUP, MATCH, IF and conditional formatting for accurate reporting, research and troubleshooting

    Compensation: Salary range: $53,000 – $58,000

    Schedule: 38 hours per week Monday through Friday

    This position may be required to work flexible and/or additional hours during the holiday giving season (October through January) due to the increased volume of donations.
