Job Title: Food Pantry Financial Assistant
Hours: up to 25 hours per week
Reports to: Pantry Manager, with supervision from Finance Committee
Description:
The mission of the North Kingstown Food Pantry is to feed and assist the hungry in North
Kingstown. Under supervision, the Financial Assistant performs basic bookkeeping and
operational tasks. The Pantry Manager will provide instruction for this role, including
training in our donor software, Donor Perfect. After initial training, may be able to work
from home, though at least weekly visits or assigned work at the Pantry would be
required.
Qualifications:
- Two years’ work experience in a business office, ideally in a nonprofit environment.
- Basic bookkeeping competence and understanding of financial principles.
- Competence in Microsoft, Google Drive, or other office applications.
- Competence and familiarity with QuickBooks Online or other accounting applications.
- Associate or business degree, or additional related experience in lieu of a degree.
- Highly organized, detail oriented, and focused on accuracy.
- Ability to learn quickly and adapt to changing demands.
- Ability to work both as part of a team and independently.
- Ability to troubleshoot and solve problems, with a process improvement mindset.
General Financial Duties:
- Accounts Payable - Gather invoices, prepare checks for signature, compile into QBO.
- Expenses - Collect, organize, and code expense receipts for input to QBO.
- Donations - Organize checks for deposits to the bank, make deposits, and record into QBO.
- Monitor email notifications of ACH deposits and invoices. Input financial donations to Donor Perfect and prepare acknowledgements.
- Payroll - Input hours to Payroll system for review and update bi-weekly payroll audit file.
- Reporting - Provide financial reports on Operational Finances to Pantry Manager and Board
- Audit Files - Maintain audit files for Gift Cards, Petty Cash, Credit Cards, Grants, Capital Budget, and Insurance Policies
- Reconciliation - Monthly reconciliation of all credit card expenses. Support Finance Committee with initial reconciliation of bank accounts & investment accounts, and audit files (payroll, prepaid, etc.).
- Support Fundraising team by tracking Fundraising efforts and providing reports.
- Support Grant Writing team by providing data and performing compliance activities.
- Support the creation and modification of the Annual Budget Process.
General Operational Duties:
- Reports - Run reports from the client system to prepare monthly statistics. Submit data (monthly statistics and weekly Retail Pickups) to RI Community Food Bank .
- In-Kind Donations - Review food donation log, input in-kind donations to DonorPerfect, and prepare acknowledgements.
May be assigned additional tasks by Pantry Manager or Finance Committee
Pay Range: $20- $24 per hour.
