Title: Senior Administrative Assistant
Reports to: Executive Director, Chhange
Chhange is an independent 501(c)3 nonprofit located on the campus of Brookdale Community College.
Chhange’s Mission:
- Educate about the Holocaust, genocide, and human rights issues;
- Promote the elimination of racism, antisemitism and all forms of prejudice; and,
- Develop outstanding creative programs and activities regarding these crucial issues
Position Summary
Under the direction of the Executive Director, the Senior Administrative Assistant coordinates activities in support of the day-to-day administration of Chhange. Serves as the initial contact for public inquiries, including those from students, educators, volunteers, and visitors. Works closely with the Chhange Program Manager, providing program and event assistance. Works directly with Board members, volunteers, committees, and the community at large.
Essential Duties and Responsibilities
- Support the mission, annual goals and objectives of Chhange and report on progress towards stated goals
- Respond to and prioritize calls from the community. Serve as the first point of contact for information about Chhange, including events, programs, and related administrative procedures
- Maintain, monitor, and update Chhange calendar
- Manage flow of online and physical correspondence and record the incoming donations and payments. Open, review, and distribute incoming mail and e-mail, enter all checks received into the NEON system and forward to the bookkeeper for deposit (while maintaining confidentiality as required)
- Prepare e-blasts for programs and events as recommended by the Executive Director or Program Manager
- Manage the logistics of programs and events, including procuring rooms, catering, arranging for speaker travel and payments, on-site registration, liaising with tech and catering, signage
- Assist with social media and website updates on a timely basis
- Assist in supporting fundraising events and membership campaigns, including invoicing all receivables, and overseeing donor thank-you correspondence
- Support the development efforts of Chhange, utilizing discretion and maintaining confidentiality as required
- Obtain committee reports and prepare Board materials for Board meetings and retreats, utilizing discretion and maintaining confidentiality as required
- Coordinate volunteer schedules and provide administrative support for volunteer tasks and training
- Maintain office inventory and order supplies
- Schedule service for and follow up on equipment, facility maintenance, and tech support
- Assist in administration of security protocol
- Develop/update SOPs for all administrative procedures
Other Duties and Responsibilities
Perform other related duties as assigned.
Minimum Qualifications and Experience
- Bachelor’s degree required
- Minimum of 4 years of administrative experience
- Outstanding organizational, communication, and interpersonal skills
- Skilled in problem-solving and knowing when to ask for help
- Ability to work collaboratively and independently
- Proficiency in Microsoft Office and experience with CRM systems
- Experience with social media platforms and familiarity with website management preferred

General supervision from the Executive Director of Chhange.

General supervision of volunteers and interns
Budget/Revenue Responsibility
As assigned
Working Conditions
- Occasional evening and weekend hours required
- Local and overnight travel may be required

Two weeks paid vacation, exclusive of additional paid vacation from December 25 - January 1, when college campus is closed.
4-day work week.

Level of Language Proficiency
Highly proficient in in the English language, both in written and oral communications. Knowledge of other languages a plus, but not required.
