    Position Description and Job Posting

    Oregon Women Lawyers (OWLS) was founded as a 501(c)(6) nonprofit professional association in 1989 to become the statewide women’s bar association for Oregon. The largest affinity bar in the state, OWLS exists to transform the legal profession by pursuing equitable access to the legal system and equity for women and communities who are systemically oppressed.

    Position Summary:

    The Program & Membership Coordinator provides administrative, program, and member support to the Executive Director, Board of Directors, members, and volunteers of OWLS. The role ensures the smooth operation of organizational programs, membership services, events, and communications.

    Key responsibilities include office administration, basic bookkeeping, statewide membership support and renewals, database management, coordinating and writing the monthly electronic newsletter, supporting committees and events, event promotion and registration, listserv management, website and social media maintenance, document proofreading, and other duties as assigned.

    Primary Responsibilities (Approximate Time Allocation):

    • Membership Support (30–35%)
      • Assist members with listserv management, postings, event coordination, and registration.
      • Coordinate membership renewals and new member drives.
      • Maintain membership directory and database, including updates to the CiviCRM/Drupal membership website.
      • Coordinate member communications, including the monthly e-newsletter, social media accounts, and support to the AdvanceSheet Committee for quarterly publication and distribution.
      • Oversee and coordinate the OWLS Contract Lawyer Service.
    • Committee Support (25–30%)
      • Provide tools and support to volunteers across multiple committees to help them implement programs, events, and projects.
      • Support event promotion and registration for bi-monthly, monthly, quarterly, and annual events.
      • Compile, edit, and distribute monthly committee reports on the status of committee activities.
    • Office Administration (10–20%)
      • Perform basic bookkeeping, including accounts payable/receivable, deposits, and QuickBooks data entry.
      • Maintain databases, printed records, and website content.
      • Manage incoming and outgoing mail, Googlevoice telephone inquiries, word processing, editing, and proofreading.
      • Assist with scheduling, attend chapter, committee, and board meetings as needed, and provide logistical and technical support.
    • Chapter Development (5–10%)
      • Serve as the primary contact for statewide chapters and provide ongoing support for chapter activities.
      • Assist chapters with implementing programs, tracking reporting and payments, and maintaining regular communication.
      • Escalate strategic or complex matters to the Executive Director as appropriate.
    • Board Support (5–15%)
      • Support the Executive Director in preparing for board meetings, including reports, data, and materials as needed.
      • Identify and use the latest digital tools to design advertisements and promote events.
    • Volunteer Coordination (5–10%)
      • Monitor volunteer survey responses and assign volunteers to chapters and committees.
      • Maintain volunteer distribution lists and internal rosters

    Job Requirements:

    • Minimum of two years of progressively responsible administrative and/or program support experience within a nonprofit, association, or similar organization.
    • Demonstrated commitment to the organization’s mission and values.
    • Ability to work independently with sound judgment, strong follow-through, and minimal supervision.
    • Exceptional organizational skills with the ability to prioritize, problem-solve, and manage multiple projects simultaneously.
    • Strong project coordination or project management abilities.
    • Excellent written and verbal communication skills.
    • High level of digital literacy, including comfort learning new tools and adapting to evolving technologies.
    • Proficiency with PC and cloud-based software, including Microsoft Office Suite, Adobe Acrobat, Zoom, and commonly used digital platforms such as MailChimp, Canva, and social media platforms (e.g., Facebook, LinkedIn, Instagram); familiarity with QuickBooks preferred.
    • Ability to work occasional evenings and travel within the state as needed for events or meetings.
    • Collaborative and team-oriented approach, with the ability to build productive working relationships.
    • Possession of a valid driver’s license and/or reliable transportation for occasional in-person event support and mail pick-up/drop-off.

    Preferred Qualifications:

    • Experience working with membership-based organizations.
    • College or Professional School Graduation or equivalent experience.
    • CiviCRM experience a plus.
    • Drupal or WordPress experience a plus.

    Working Conditions:

    Physical demands: many hours sitting or using standing desk and using office equipment and computers. Lifting/moving supplies and materials as needed for programs, events, or storage unit organizing.

    Environment: Position is currently work from home (WFH) with occasional errands and meetings within Portland-metro area. Works weekdays with executive director, and interacts regularly with members of the legal community by email and telephone. Must have ability to work from home independently with support as needed from Executive Director.

    Compensation & Benefits:

    Wage and benefits: $25-27 per hour depending on experience. Simple IRA matching contribution after one year, health insurance reimbursement, vacation, sick and holiday pay. Paid week off between Christmas and New Year and one week summer office closure.
