    Description

    Literacy Inc., d/b/a Literacy in Community (LINC), equips children in all 5 of New York’s boroughs with foundational literacy skills essential for academic achievement by empowering families and mobilizing their community. LINC connects families with each other and with resources in their community to iteracy-rich environments and learn how to support their child’s development from before they are born to when they turn five years old, and beyond. Our community-based approach fosters early literacy development to nurture generations of lifelong learners and empowers parents to become literacy advocates. LINC works to strengthen literacy ecosystems within NYC and provide educators, child care, and healthcare professionals with skills to promote early childhood literacy.

A pioneer in the field of early literacy, LINC leads several collective impact initiatives in addition to its comprehensive programs and has won multiple Nonprofit Excellence Awards in recognition of its high level of Overall Organizational Management, including in Financial Management and for Excellence in Resource Development and Fundraising.

    Job Title: Operations Manager, Full-Time [On-site]

    Reports to: Chief Finance and Administration Officer

    Location: Inwood, NYC – This role will require regular onsite presence, working in-person and virtually with team members located throughout NYC and some more remote to serve LINC’s Neighborhoods around NYC. LINC is a hybrid work environment with many meetings held via video conference.

    Work Schedule: 5 days/week in the office, with travel to events and work locations around NYC. LINC produces weekend events that staff have the opportunity to attend.

    Salary Range: $55,000-$60,000 plus Benefits and robust Paid Time Off offered

    Position Summary:

    As a member of LINC’s Finance and Administration team, the Operations Manager will assist with all facets of the organization’s operations and will support LINC’s literacy programs in our NYC neighborhoods. You will work in collaboration with key staff to execute all operational needs. You also will coordinate with several internal LINC departments and outside vendors to implement all required actions. The position will report directly to the Chief Finance and Administration Officer. Job responsibilities will include the below and may change with the organization’s needs.

    30% Office + Facilities Management

    • General Office Management
    • Daily Staffing of HQ Office
    • Maintain Office and Program Supplies
    • Coordinate Meetings, In-Person and Virtual
    • Manage Staff Access and Equipment
    • Maintain Storage Units Across NYC
    • Assist with Satellite Offices
    • Organize Mail and Package Deliveries

    20% Program Procurement & Materials Management

    • Manage Program Materials Orders and Deliveries, Including:
      • Books
      • Amazon
      • Food
      • Event Supplies
    • Submitting Orders and Payments
    • Tracking and Reporting Deliveries
    • Division and Distribution of Materials
    • Managing Returns
    • Printing and Preparing Materials for Teams

    15% Operational, HR, and Administrative Support

    Support Finance, Operations, and HR Team, including but not limited to:

    • Managing Internal Systems
    • Administrative Coordination Across The Organization
    • Filing and Recordkeeping
    • Workflow Improvement
    • Scheduling and Calendaring
    • Drafting And Sending Of Approved Staff-Wide Communications
    • Supporting Preparation for Quarterly Board Meetings and Staff Meetings

    15% Technology & Equipment

    • Work with Operations & IT Teams to Manage Organization’s Tech Needs
    • Support Staff with Computers, Phones, and Other Necessary Hardware, Software, and Access
    • Maintain Office Printer in Coordination with Service Vendor
    • Assist in Tracking All Software or Platform Subscriptions and Licenses
    • Troubleshoot Problems and Refer to IT Team or Outside Resources

    10% Finance Management

    • Support Finance Team On Routine Processes, Such As Payroll
    • Organizing Needed Information and Documentation
    • Support With Vendor Payments
    • Maintenance of Filing and Recordkeeping

    10% Ad Hoc Projects

    Including, But Not Limited To:

    • Organization and Reallocation of Unused Program Materials
    • Document Shredding And Safe Data Destruction
    • Organizing and Archiving of Historical Documents and Materials
    • Supporting Programs In-Person, As Needed

    Qualifications and Skills:

    • 3-5 years of successful experience in office administration or applicable experience.
    • 2+ years of experience working with nonprofit organizations.
    • Proficiency in working with Google Suite (Drive, Sheets, Docs, Calendar, Mail).
    • Great problem solver.
    • Must be able to lift at least 40 pounds (comfortable with moving boxes and other equipment)
    • Identify opportunities to improve processes and efficiencies.
    • Willingness to pitch in where needed and to support emerging projects and organizational initiatives
    • Organized and able to balance vision and details simultaneously.
    • Able to track and work on projects with consistency and move them to completion.
    • Comfortable and able to travel throughout NYC.
