    Description

    General Position Summary:

    This position assists in the coordination of Food Lifeline’s volunteer activities and is responsible for activities such as the recruitment and scheduling of volunteers, maintenance of volunteer records in the donor database, maintenance of the online scheduling tool, and assistance with volunteer recognition and development efforts.

    Essential Functions/Major Responsibilities:

    • Schedules and recruits volunteers to meet operations production needs, staff special events, and provide administrative support for other departments that need and desire such assistance.
    • Ensures that volunteers are notified and reminded of assignments via email; follows-up on any cancellations or requests for changes.
    • Establishes and maintains schedules in online group scheduling tool.
    • Registers new volunteers via online tools; maintains volunteer registration records.
    • Maintains volunteer records in donor database.
    • Responds to volunteer inquiries in a timely fashion and meets day-to-day customer-service needs of volunteers.
    • Assists with implementation of volunteer program annual and long range plans.

    Secondary Functions:

    • Supports Food Lifeline’s fund development efforts.
    • Supports special events as needed.
    • Attends meetings as assigned.
    • Other duties as assigned by supervisor.

    • No staffing or supervisory responsibilities.

    Specific Job Skills:

    • Knowledge of Food Lifeline’s history and mission.
    • Knowledge of safe food product handling techniques.
    • Knowledge of warehouse practices, documentation, and storage techniques.
    • Knowledge of safety regulations and practices.
    • Ability to read write, and communicate effectively in English.
    • Ability to apply concepts of basic math: addition, subtraction, multiplication, division, and percentages.
    • Skill in using computer software to accomplish scheduling, word processing, spreadsheets, and e-mail specifically Microsoft Office, BBEC.
    • Skill in using computer software designed for the not-for-profit setting, such as Raiser’s Edge.
    • Ability to work as member of a team.
    • Ability to work independently.
    • Ability to maintain positive working relationships.
    • Ability to assess needs and assign resources.
    • Ability to supervise volunteers with tact and patience.
    • Ability to work with children and youth volunteers.
    • Ability to use discretion and make decisions within parameters.
    • Skill with customer service.
    • Ability to provide training to small groups.
    • Ability to operate forklifts pallet jacks and industrial dishwasher.

    Education and/or Experience:

    • High school diploma or equivalent required; vocational training in administrative or clerical helpful.
    • Minimum 3 years in an office or customer service position required. Experience scheduling people and groups helpful. Experience with MS Office required.
    • Experience working in a warehouse environment helpful; knowledge of safe food handling practices helpful.
    • Required to possess a state of Washington Food Handler’s License or able to be licensed within 30 days of hire.
    • Ability to pass background check including criminal investigation to ensure ability to work with or around children or youth.

    Job Conditions:

    Work is performed primarily in an office setting with adequate lighting, heating and ventilation. Work is also performed in warehouse setting subject to typical level of warehouse noise, operating equipment such as forklifts and pallet jacks, and occasional extreme temperatures in cooler and freezer areas of warehouse. Work areas may be cramped. Requires working closely with others. Position has periods of increased activity and demands both in computerized and management of volunteers. Position routinely must response to requests for changes with tact and patience.

    Physical Demands:

    Position requires prolonged sitting and frequent keyboarding activity with repetitive hand and wrist motions. Requires continuous reading on computer screen. In warehouse setting, work requires the ability to occasionally lift up to 50 pounds; occasionally walk or stand on concrete surface; occasionally need to stoop, bend or reach. Occasionally requires operation of forklift and pallet jack and industrial washer. Requires frequent contact with food products.

    Benefits

    Salary: $25–$35/hour. Full benefits include employer-paid medical, dental, and vision coverage for employees and their children, basic life and disability insurance, 403(b) retirement match, and generous paid time off, including parental leave. This is a hybrid role that requires at least three days of on-site work per week.
