The Forestry and Fire Recruitment Program (FFRP) is a workforce development and training non-profit organization committed to preparing individuals from marginalized communities for careers in forestry, fire service, and related public safety professions. FFRP provides structured training, hands-on experience, and career readiness programming designed to create pathways to stable employment while supporting community safety and environmental stewardship.
Through its Career Training Programs (CTP) and Fee-for-Service operations, FFRP equips participants with the technical skills, discipline, and professional development necessary to succeed in demanding and service-oriented careers. Participants gain real-world experience in wildfire mitigation, fuels reduction, defensible space operations, and other forestry-related activities that directly contribute to safer communities and healthier ecosystems.
FFRP partners with public agencies, nonprofit organizations, and community stakeholders to expand workforce opportunities and strengthen the pipeline of trained professionals prepared to meet California’s growing workforce and environmental needs. As FFRP continues to expand its grant-funded programs and operational capacity, the organization is strengthening its data systems, compliance infrastructure, and reporting practices to support sustainable growth and long-term success.
The Position
Reporting to the Chief Operating Officer (COO), the Grants & Data Compliance Manager is responsible for supporting grant compliance, reporting readiness, and program data integrity across multiple funding streams. This role develops and maintains structured grant tracking systems, supports Salesforce governance, ensures documentation readiness, and strengthens organizational accountability for grant-funded activities. The Grants & Data Compliance Manager serves as an operational bridge between Program, Development, and Finance teams to ensure accurate tracking, reporting, and documentation readiness. This role serves as the operational authority responsible for maintaining data integrity and ensuring consistent reporting practices across programs.
Job Responsibilities
Grant Compliance & Reporting
- Maintain centralized grant tracking systems across all active funding sources
- Monitor grant deliverables, reporting deadlines, and compliance requirements
- Maintain a master grant compliance tracking dashboard providing visibility into reporting timelines and deliverable status
- Maintain grant compliance calendars
- Coordinate preparation of required reporting materials
- Maintain organized grant documentation and reporting files
- Support grant closeout documentation
- Identify potential compliance risks and escalate as needed
Data Systems Management & Salesforce Governance
- Serve as the operational owner of Salesforce data governance across programs
- Establish and enforce standardized Salesforce data entry protocols
- Maintain data governance policies including naming conventions and required fields
- Conduct routine Salesforce data integrity audits and coordinate corrective actions
- Monitor user compliance with required data entry timelines
- Maintain data dictionaries and reporting structures
- Collaborate with leadership to maintain appropriate user access permissions
- Identify workflow improvements to enhance reporting accuracy
- Serve as the primary internal resource for Salesforce governance and reporting standards
- Train staff on required data entry standards and reporting expectations
Dashboard Development & Reporting
- Develop and maintain recurring leadership dashboards that provide visibility into grant deliverables, program outcomes, and compliance status
- Produce monthly reporting summaries for leadership
- Maintain standardized reporting templates across programs
- Standardize reporting formats to ensure consistency across funding sources
- Support reporting requests from leadership
- Identify reporting trends and performance gaps
Financial Coordination & Grant Spend Tracking Support
- Maintain grant spend tracking tools aligned to funding categories
- Organize documentation supporting grant expenditures
- Coordinate with Accounting to support reconciliation workflows
- Support grant spend-down tracking
- Identify discrepancies between program and financial documentation
- Maintain documentation readiness for billing activities
Audit Readiness & Documentation Management
- Maintain structured documentation systems supporting audit readiness
- Conduct periodic file reviews to ensure compliance
- Support preparation for internal and external audits
- Maintain organized and searchable grant records
- Ensure documentation aligns with reporting requirements
Cross-Department Collaboration
- Collaborate with Program Managers to ensure accurate data entry
- Support Development team reporting needs
- Coordinate with Accounting partners
- Participate in operational planning activities
- Support development of performance metrics
Supervisory Responsibilities (Future-Facing)
- May provide oversight to support staff assigned to data or grant operations
- Support onboarding and training of staff
- Assist in developing team workflows
- Provide leadership and guidance related to data governance practices
- Serve as a subject matter resource for data and grant compliance
Minimum Qualifications
- Minimum five (5) years of experience in grant administration, compliance tracking, and/or data management
- Bachelor’s Degree and/or equivalent combination of education and experience
- Experience supporting government-funded grants or contracts
- Expertise in documentation and file management
- Demonstrated ability to manage multiple projects with competing deadlines in a fast-paced environment
- Exceptional organizational skills with the ability to manage complex records systems
- Ability to work independently and assume responsibility quickly in a growing organization.
- Advanced Microsoft Excel skills
- Advanced experience with CRM systems (Salesforce preferred)
- Strong written and verbal communication skills
- Access to reliable transportation
