Facilities Operations Coordinator
Details
Description
Genesis is seeking a Facilities Operations Coordinator to manage the day-to-day operations of our unique, shared facility, which is the spiritual home of Temple Beth Emeth and St. Clare’s Episcopal Church, and which is also shared with renters, community groups, and other building users. Genesis is a dynamic environment; at our founding, one of the stated goals was to make good use of our building, and it is indeed busy many hours of the day and evening! Often this is joyful; there are many people and groups with meaningful purposes coming and going and even cross-pollinating in our space. It is also often complex, and sometimes there are competing needs that require clear communication and creativity to address.
This position combines staff supervision, facility coordination, administration, and customer service. The Facilities Operations Coordinator will work closely with Genesis staff, congregational leadership, the Genesis Board, renters, volunteers, and the Building Systems Coordinator to keep building operations running smoothly.
Key Responsibilities
- Supervise the Building Systems Coordinator, Custodian, and Shift Supervisor, working with them to understand the needs of the building and weekend staff, helping them to understand and meet the needs of the congregations and renters, and pro-actively working with the board and staff to solve problems that arise.
- Coordinate the systems of scheduling building use for the two congregations, along with serving as the initial and primary contact for outside rentals. Monitor the building schedule, pro-actively dealing with potential space use and changeover issues in cooperation with the Shift Supervisor.
- Work to maintain smooth access to building equipment and utilities (water, power, internet, sound system, snow removal) so that the congregations and renters’ groups can function smoothly.
- Maintain operational records, calendars, rental agreements, payroll information, and routine administrative and financial reports.
- Coordinate routine office and event technology needs, including internet access, Zoom, hybrid meetings, and copier services.
- Oversee operational aspects of emergency preparedness and coordinate responses to building emergencies with congregational leaders.
- Attend monthly Genesis Board meetings, preparing and presenting an operations report, following up on relevant Board decisions and requests, and providing some administrative support for the Board’s operations.
- Supervise and direct the Building Systems Coordinator on maintenance of the building, and be the primary lead on tracking and reporting on maintenance and building systems to the board and congregations.
Qualifications
We are looking for someone with:
- A high school diploma or equivalent.
- Strong communication and interpersonal skills.
- Demonstrated leadership, organizational, and administrative abilities.
- An enjoyment of a dynamic environment and creative problem-solving
- Ability to supervise staff, manage multiple priorities, and solve problems independently.
- Proficiency with common office technology and software, such as email, calendars, documents, and spreadsheets
- Flexibility, adaptability, dependability, and an ability to work collaboratively with a diverse range of people.
- Ability to foster an environment of respect and inclusion where all individuals—regardless of race, religion, sexual orientation, gender identity, or gender expression—feel valued and safe.
Experience in facilities operations, administration, budgeting, staff supervision, nonprofit organizations, congregations, or similar settings is helpful but not required.
This is a full time, salaried position. The Facilities Operations Coordinator reports to the Genesis board and is supervised by the TBE Executive Director, the St. Clare’s Rector, and a member of the board.
Typical hours are 8:30 am to 4:30 pm, M-F on-site, with occasional flexibility to accommodate evening meetings or weekend responsibilities, not to exceed twice a month. There are occasional building emergencies which require a response during off hours; these are not to exceed twice a month. The board and supervisors will work with you to ensure that there is adequate support to avoid on-call responsibilities beyond those times.
The expected salary range for this full-time position is $65,000–$75,000, depending on experience and qualifications. Genesis offers medical insurance, paid vacation and sick time, 10 paid holidays annually, and a 403(b) retirement plan with employer contributions and matching contributions. Additional details regarding benefits are provided in the Genesis Employee Handbook.
