    Description

    Rebuilding Together Arlington/Fairfax/Falls Church (RT-AFF) is seeking a full-time Operations Support Specialist to join our small, high-performing team. This position plays a vital role in helping low-income homeowners access our services by guiding clients through the application process while providing operational and administrative support essential to the successful delivery of our programs.

    We are looking for an energetic, flexible, well-organized, and technology-savvy self-starter who enjoys helping people, building relationships, and working collaboratively in a fast-paced nonprofit environment.

    Major Responsibilities

    The Operations Support Specialist reports to the Executive Director and provides client services, community outreach, and operational support essential to the successful delivery of RT-AFF's programs and the efficient day-to-day operation of the organization. The individual filling this position is the initial point of contact for homeowners seeking assistance and plays a critical role in supporting our volunteers, interacting with our community partners, and facilitating the flow of RT-AFF’s daily operations.

    Key responsibilities include:

    Client Services

      • Serve as the initial point of contact for homeowners seeking assistance by responding to telephone and email inquiries, corresponding with applicants throughout the process, and guiding them through the intake, eligibility, and application process.
      • Collect, review, track, and maintain client applications and related documents, ensuring the accuracy, completeness, and confidentiality of all client records.
      • Manage and maintain client and project data within Microsoft Power Platform applications and generate performance reports.

    Community Outreach & Organizational Support

      • Assist with outreach efforts to recruit eligible homeowners and volunteers.
      • Broaden awareness of RT-AFF's programs and services by representing the organization at presentations, expos, workshops, and liaising with community and referral partners.
      • Support the planning and coordination of meetings, trainings, volunteer events, fundraising activities, and volunteer appreciation events.
      • Occasionally assist with project logistics before workdays and at home repair sites, including preparing supplies, handling registrations, ordering and picking up food, taking photographs, making hardware store runs, and cleaning up.

    Operations & Administrative Support

      • Manage incoming and outgoing mail, prepare bank deposits, and oversee general office communications, including organizational email and telephone calls.
      • Coordinate office operations, including maintaining office supplies, equipment, furniture, and technology in partnership with the organization's IT vendor.

    Essential Qualifications

    • At least two years of work experience in an environment that requires teamwork and multi-tasking.
    • Strong communication and interpersonal skills to interact effectively with client families, volunteers, community partners, contractors, and other RT-AFF staff.
    • Strong data management capabilities, including proficiency in Microsoft Office (Word, Excel, Outlook) and the ability to quicky learn and use Microsoft Power Platform applications and other software.
    • Ability to work independently and collaboratively in a small team environment.
    • Valid driver's license and reliable transportation for occasional local travel (mileage reimbursement provided).

    Preferred Qualifications

    • Fluency in Spanish
    • Experience with Microsoft Power Platform (Power Apps, Power BI, or related applications).

Each year, we mobilize hundreds of volunteers, community partners, and skilled contractors to complete repairs for more than 125 households.
