United Neighborhood Houses (UNH) is a policy and social change organization with a mission to promote and strengthen settlement houses’ neighborhood-based, multi-service approach to improving the livesof low- and moderate-income New Yorkers. We represent 45 settlement houses that collectively reach 840,000 New Yorkers from all walks of life. The Opportunit
This is a chance to contribute to a mission-driven organization and grow with it. The Operations Manager will have a chance to learn about all aspects of UNH’s work; ensure that everyone who works at and visits UNH has a positive experience; that office operations and administrative processes are effective, organized and responsive to staff needs.
The Operations Manager reports to the Chief Financial and Administrative Officer and works closely with the Executive Director and staff across the organization. What You’llDo
Office Operations
Ensure the office environment functions effectively for staff and visitors, including the following:
- Coordinate and schedule internal and external meetings for staff with government officials, funders, and non-profit partners.
- Support the Administrative Assistant and Member Services Associate as necessary to ensure the office operates smoothly for staff and guests, including technology access.
- Remain current on effective uses of Zoom and other technologies for remote and hybrid meetings and train staff on best practices.
- Provide administrative and operational support to the Executive Director and other senior staff.
- Organize and share information about neighborhood resources for staff and visitors.
Information and Records Management
- Maintain and enhance effective digital and paper filing systems for organizational records, including Board of Directors, Executive Director Council and member settlement house materials.
- Maintain and enhance an easy, efficient, and reliable system to capture accurate and complete information on attendance at UNH offerings and work with UNH’s Professional Development and Data Analysis Manager to produce participation reports.
Employee Relations
Support the CFAO to strengthen organization-wide approaches to employee resources, intra-organizational communication, and workplace practices, including the following:
- Assist in recruitment and onboarding new employees in collaboration with hiring supervisors.
- Assist with annual health insurance open enrollment.
- Ensure annual timesheets are established, easy to use, and maintained for all staff.
- Upon request, research professional development opportunities and initiatives to support staff learning.
- In collaboration with colleagues, assist in developing employee recognition and engagement opportunities, including summer and winter events.
- Assist in scheduling annual employee assessments.
- Assist in implementing a consistent offboarding process that supports a smooth transition for both the departing employees and the organization, including the collection of organizational property and key information.
What We’re Looking For
- Bachelor’s degree or equivalent combination of education and relevant professional experience.
- Several years’ experience in operations and office management.
- Strong organizational and project management skills, with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Strong interpersonal skills and the ability to work effectively with employees at all levels of an organization.
- Demonstrated abilityto develop and implement clear, efficient operational systems and processes.
- Sound judgment, discretion and the ability to handle information respectfully and appropriately.
- Proficient with Microsoft Office / Outlook, Google Suite and virtual meeting platforms such as Zoom; experience with databases and CRM systems is strongly preferred.
- Commitment to creating an inclusive, collaborative and positive workplace environment.
- Experience working in a nonprofit or mission-driven organization is strongly preferred.
Compensation& Benefits
- This position pays $75,000
$80,000 depending on skills and experience. UNH offers a competitive benefits package including:
- Excellent medical,dental, and vision plans;
- A 403(b)with the opportunity for a 10% match on a 3% contribution after year one;
