Job Purpose / Objective
The Volunteer Coordinator is responsible for planning, organizing, and executing all volunteer activities and supporting general warehouse operations. The position is the main contact for volunteers and groups that express interest in hosting community service projects.
Essential Functions & Primary Duties
- Manages ShareBaby volunteer scheduling, recruiting, and training.
- Serves as primary contact for all volunteers, provides reminders and follow-up emails, and responds to general volunteer inquiries.
- Monitors and manages the volunteer email inbox, responding to inquiries, coordinating scheduling requests, and maintaining clear communication with volunteers.
- Develops and maintains the Warehouse, Community, and Session Lead Volunteer programs to cultivate empowered volunteer leaders who independently support warehouse work, community engagement efforts, and after-hours volunteer groups.
- Coordinates recognition events, awards, and hosts regular meetings with Lead Volunteers.
- Oversees scheduling for all volunteer groups and individual volunteers, coordinating closely with the warehouse team to align coverage with operational needs.
- Runs all weekday daytime volunteer sessions, including setup and cleanup of warehouse spaces.
- Prepares for evening/weekend volunteer sessions by setting up tasks in the warehouse and writing detailed instructions to help the Lead Volunteers guide the sessions.
- Responds timely to Lead Volunteer questions during evening and weekend sessions with support from the Operations Manager and Executive Director, as needed.
- Demonstrates comprehensive knowledge of warehouse operations and can effectively train volunteers in all related tasks.
- Closely oversees the work quality of volunteers and provides support to uphold ShareBaby’s high quality standards.
- Maintains accurate volunteer records and executes regular reporting.
- Assists with warehouse tasks, such as sorting and organizing donations, and other tasks assigned by the Warehouse Manager and Operations Manager.
- Other related duties as assigned by the Executive Director.

- Preferred experience with data entry software and management systems
- Experience with volunteer management software or databases preferred
- Preferred certification and experience using warehouse lift equipment (e.g., pallet jack or stacker)
- Educational Requirements: At least an Associate Degree with preference for a Bachelor Degree or equivalent work experience in the Volunteer Management field.
- Physical Requirements: Able to lift 50 pounds and stand for significant periods.
