Internationals Network for Public Schools is seeking a passionate, skilled, and committed professional to join our team as a Program Associate. This is a full-time role that works with staff across the organization to support the coordination, logistics, communications, documentation, resources, and systems that help Internationals Network’s programs and initiatives run smoothly and effectively.
The Program Associate will report to the Senior Specialist of Professional Development and will work closely with members of the Programs Team and Schools Team, school and district partners, consultants, educators, fellows, interns, and participants across our national networks.

Our mission is to provide quality education for recently arrived immigrants by growing and sustaining a strong national network of innovative public secondary schools, while broadening our impact by sharing proven best practices and influencing policy for multilingual learners (MLLs) nationally. We partner with public schools, districts, community organizations, and others to design, open and support schools and provide professional development and resources to educators.
WHAT YOU’LL DO
The Program Associate will play a key role in helping the Programs and Schools Teams coordinate, organize, document, and strengthen Internationals Network’s programmatic work across schools, districts, professional learning spaces, and Learning Network initiatives.
This role is ideal for someone who is highly organized, detail-oriented, proactive, and energized by the behind-the-scenes work that makes strong educational programming possible. The person in this role will support program logistics, participant communications, event preparation, materials management, contact lists, documentation, data tracking, and follow-up systems for a wide range of program activities. Strong administrative and organizational skills are essential, as the person in this role will be responsible for keeping multiple program activities, details, timelines, and follow-up systems moving smoothly.
The Program Associate will help ensure that professional development sessions, school visits, convenings, committees, workshops, and Learning Network offerings are well organized, well communicated, and well documented. They will support the organization of program resources, examples, tools, artifacts, and materials so that Internationals Network’s work remains coherent, accessible, and useful to Internationals Network staff and educators and partners. This position will work closely with Regional Directors to coordinate logistics for regional network services, coordinate scheduling and materials development of key services, and support accurate and timely tracking of service delivery.
Because the role supports work nationally, some local and national travel may be required throughout the year. The position will include both remote and in-person work.
KEY RESPONSIBILITIES
Program Coordination, Logistics, and Events
- Support scheduling, calendaring, and coordination of program and regional hub services, professional development sessions, school visits, meetings, committees, and Learning Network activities.
- Coordinate logistics for workshops, conferences, convenings, school visits, immersive experiences, webinars, and other programmatic activities.
- Arrange event needs such as space, catering, materials, technology, travel details, and venue logistics.
- Prepare, print, organize, ship, package, and distribute materials for workshops, convenings, school-based services, and national events.
- Provide on-site logistical and materials support for professional development sessions, conferences, committees, school visits, and other program activities.
- Support fellowship and internship initiatives connected to Programs Team priorities.
- Work with the Finance team to track and manage catering and shipping expenses within the company expense management platform (e.g., Ramp), coordinating food orders via ezCater and shipments via FedEx.
Program Resources, Documentation, and Data
- Assist with organizing, compiling, formatting, and updating program documents, tools, templates, agendas, handouts, slide decks, and resources.
- Help maintain shared folders, archives, resource libraries, and internal systems for program materials.
- Support the documentation and archiving of materials after professional development sessions, school visits, and events.
- Help document promising practices, school-based examples, teacher-created resources, student work, and program artifacts.
- Track program participation, service delivery, attendance, feedback, and related program data.
- Assist with the collection and organization of data, artifacts, and documentation for evaluation, reporting, and planning purposes.
- Organize program services documentation so that records are accurate, accessible, and useful across the Programs and Schools Teams.
Communications and Network Coordination
- Manage participant communications, including invitations, registration, reminders, attendance tracking, follow-up correspondence, and feedback surveys.
- Help maintain accurate school staff rosters, school contact lists, partner contact information, participant lists, and program distribution lists.
- Manage program listservs and distribution lists, including adding and removing users as needed.
- Support outreach and communication to school leaders, teachers, district partners, consultants, fellows, interns, and program participants.
- Collect and disseminate regular internal program updates.
- Support communication and coordination across Programs and Schools Team members and between these teams and other key functions in the organization to ensure clear follow-up and alignment.
- Assist with preparation for team meetings, including agendas, materials, notes, and next-step tracking.
- Conduct research and gather information to support program planning, resource development, school support, and professional learning initiatives.
- Perform additional administrative, logistical, and organizational tasks as required.
Regional Hub Support
- Support regional directors with service tracking review, compilation of service documentation needed for invoicing, and review of regional budget expenses.
- Support with scheduling, project management, cross-regional resource sharing and evidence report development for Learning Environment Scans (LES) and School Feedback and Support (SFS) Visits.
- Collaborate with the Research and Evaluation Team and regional directors on the collection, storage and destruction of data as specified in data management plans.
- Liaise with finance, regional teams, and clients to coordinate travel logistics, payment of participant and student stipends, school/district reimbursement for substitute coverage as specified in regional and national grant budgets.

QUALIFICATIONS
- Education: Bachelor’s degree in education, nonprofit management, communications, public administration, or a related field preferred.

- Proficiency with Google Workspace and/or Microsoft Office Suite.
- Comfort using online systems, shared digital workspaces, registration platforms, spreadsheets, and project management tools.
- Experience with design tools such as Canva or Adobe Creative Suite preferred.
- Experience supporting events, professional learning, nonprofit programs, schools, or educational initiatives preferred.
- Strong data entry, record-keeping, and information management skills.
- Ability to attend occasional morning, evening, or in-person events as needed.
- Ability to participate in occasional local and national travel.
- Flexibility, curiosity, and willingness to support a range of program needs as they arise.
ROLE SPECIFICATIONS
- Location: New York, NY
- Position Type: Full-time, Hybrid role requiring both remote and regular in-person work (up to 3 days per week), with occasional travel anticipated to support schools, districts, professional development events, convenings, and Learning Network initiatives
- Reports To: Senior Specialist of Professional Development and the Director of School Support, DC Region.
BENEFITS AND SALARY
- The starting salary range for this position is $52,000–$78,000. (Grade 2)
