    CHURCH ADMINISTRATOR (part-time)

    Tuckahoe Presbyterian Church

    Richmond, VA 23226

    Purpose of the Position

    To serve as the central administrative hub for the church, ensuring smooth daily operations and effective ministry support. The Church Administrator provides essential organizational leadership that enables pastoral staff to focus on spiritual care and ministry. This position coordinates communications, manages office functions, maintains records, supports committees, and serves as a welcoming first point of contact for the congregation and visitors. The Administrator plays a vital role in creating an organized, efficient, and hospitable environment that furthers the church's mission and ministry.

    Accountability

    The Administrator reports to the Pastor and Head of Staff.

    Core Responsibilities

    Office Management

      • Serve as a receptionist during office hours, by answering phone calls and greeting visitors
      • Manage church database and directory information
      • Oversee office supplies and equipment
      • Process incoming mail and correspondence
      • Maintain physical and digital filing systems
      • Manage church calendar and room scheduling

    Communications

      • Prepare weekly bulletin and announcements in collaboration with the Pastor
      • Manage church website content
      • Create and distribute weekly church-wide email communications
      • Prepare and distribute communications for special events
      • Support staff and committee communications needs
      • Manage social media and online presence to increase engagement with the local community
      • Update the outdoor church signage as part of our larger communications plan

    Administrative Support

      • Provide administrative support to the Pastor, staff, and ministry leaders
      • Prepare materials for worship services and special events
      • Maintain membership records and reports, including baptisms, weddings, and funerals
      • Coordinate volunteers for various church functions
      • Serve as liaison between clergy, congregation, and community

    Facilities Coordination

      • Serve as the primary point of contact for community groups using the building
      • Coordinate with the Property Committee on maintenance needs
      • Manage building access through the locking system
      • Schedule and coordinate space usage, scheduling a time in advance of their usage to address any AV or building usage questions
      • Ensure proper setup for church events and worship services, coordinating with committees if spaces need to shift for particular events
      • Maintain records of building usage policies and agreements
      • Oversee implementation of safety protocols and procedures

    Required Skills & Qualifications

      • Strong organizational and time management skills
      • Excellent verbal and written communication
      • Proficiency with office software, church management databases, and website management
      • Knowledge of MailChimp and Canva software
      • Ability to maintain strict confidentiality
      • Professional demeanor and welcoming customer service orientation
      • Attention to detail and problem-solving skills
      • Ability to work independently and as part of a team
      • Understanding of and respect for Presbyterian (PCUSA) traditions and governance
      • Financial management and budgeting skills
      • Flexibility to adapt to changing priorities and deadlines

    Terms of Employment

      • Part-time position: 24 hours per week; in-office during regular office hours M-Th 9:00am-3:00pm
      • Salary commensurate with education and experience
      • Paid vacation (two work weeks equivalent to eight six-hour days) and holidays
      • Annual performance review conducted by the Administration and Human Resources Committee, including the Pastor and Head of Staff
