    Description

    The Community Dispute Settlement Center (CDSC) provides mediation services, as well as training in mediation and conflict resolution throughout Suffolk and Middlesex Counties and beyond. One of the first community mediation centers in Massachusetts, CDSC promotes collaborative, proven ways to understand and resolve conflict through skilled teams of pro bono mediators, training programs in mediation and conflict management, and broad community outreach. We are committed to making our services accessible to underserved populations and to addressing emerging community needs.

    CDSC is seeking someone who takes pride in keeping an organization running smoothly and efficiently – and who also loves to communicate about impactful work.

    CDSC is seeking an organized and proactive manager to expand and implement our communications activities, ensuring that our mediation services, training programs, fundraising, and organizational initiatives are communicated clearly, consistently, and effectively across digital and external channels.

    A key partner to the Executive Director, the Communications and Operations Manager is a hands-on role with direct responsibility for communications; development, finance, and technology operations; and administrative functions.

    Duties

    Communications

    • Develop social media strategy and post on social media channels
    • Produce and send quarterly newsletter
    • Publicize workshops and training programs
    • Respond to intake calls/inquiries about CDSC’s workshops and training programs to determine the organization’s needs and assess whether training or other services or both may be most appropriate
    • Make basic updates/changes to website and serve as primary point of contact with web manager
    • Maintain up to date Constant Contact lists
    • Coordinate creation and distribution of annual report
    • Keep brochures and other informational materials up to date
    • Manage Google and other online reviews; contact those who wish to provide testimonials through other channels

    Development Operations

    • Maintain donor database in eTapestry/Blackbaud and generate reports as needed
    • Log all donations and other donor activity in eTapestry
    • Produce thank you letters
    • Provide operational support for annual fundraisers and annual appeal letter
    • Manage creation and submission of quarterly reports and invoices to key funders as well as grant applications/proposals (relevant staff provide content)

    Finance Operations

    • Deposit checks and record on spreadsheet
    • Send invoices to ED for approval
    • Transfer funds from Paypal account
    • Send invoices for cases, training programs, and other matters as they arise

    Technology Operations

    • Serve as primary point of contact with IT vendor
    • Manage Google Workspace account and phone/internet provider account

    Volunteer Management

    • For semi-annual Basic Mediation Training Program: track people who express interest in attending, record participants and track revenue, review scholarship applications, communication with participants, and make certificates upon completion of the program
    • Review volunteer applications; schedule interviews with the Executive Director or direct mediator applicants to the Practicum program if the applicant does not have sufficient meditation experience
    • Manage the scheduling, publicity, and logistics of Roundtables
    • Maintain up to date list of active and inactive mediators, including confirmation that mediators have met their annual continuing education requirements; also update Constant Contact, RAM, and master demographic tracker
    • Coordinate professional liability insurance for mediators
    • Help organize annual volunteer appreciation event

    Administrative

    • Manage CDSC’s primary point of contact email account and respond to voicemail messages, including sending inquiries to appropriate staff
    • Serve as point of contact with landlord
    • Maintain up to date list of board members and advisory board members
    • Assist with onboarding new staff and interns as well as with new board member orientation
    • Maintain and organize cloud-based and paper-based document management and filing systems
    • Perform additional duties as assigned by the Executive Director

    Qualifications

    An ideal candidate will have many of the qualifications listed below. If you are committed to mediation services to resolve conflict, please apply!

    • At least 3 years work experience in a communications, administrative, or operations role
    • Proven ability to work independently with strong problem solving and time management skills and ability to follow tasks through to completion
    • Demonstrated skill with written and oral communication
    • Excellent attention to detail
    • Ability to handle multiple projects and consistently meet deadlines
    • Proficiency with donor databases (such as Etapestry) and office technology, including Zoom, MS Office, Google Workspace, Wordpress, Constant Contact, and Canva
    • Willingness to learn how to be a mediator is a plus
    • Experience working in a nonprofit, public sector, or mission-driven organization is preferred

    OTHER

    CDSC staff primarily work from home (although they have the option to work in the office as often as they wish) and have periodic in-person workdays and meetings. Candidates must be able to participate in virtual and in-person meetings throughout the workday.

    The Communications and Operations Manager must maintain a remote working space that is reasonably free from distraction.
