    Position Summary

    The American Association of Colleges & Universities (AAC&U) is the leading national association that advances the democratic purposes of higher education by promoting equity, innovation, and excellence in liberal education.     The Advancement Coordinator reports to the Senior Director of Advancement and supports the execution of activities within AAC&U’s advancement portfolio. The coordinator plays a key role in ensuring high quality sponsor and partner experience by managing logistics, tracking deliverables, coordinating communications, and supporting collaboration across events and programs. This role includes external facing responsibilities and requires strong attention to detail, professionalism, and the ability to build trust with internal colleagues, sponsors, partners, and vendors in support of AAC&U events, programs, and initiatives.

    Major Duties & Responsibilities

    • Serve as the primary onsite and virtual point of contact for sponsor and partner logistics across programs, including the annual meeting, conferences, webinars, and leadership development offerings.
    • Support the execution of sponsorship and partnership agreements by coordinating deliverables, tracking commitments, and ensuring accurate and timely fulfillment across internal teams.
    • Manage communications related to sponsor and partner logistics, timelines, and participation requirements to ensure a positive and professional experience.
    • Coordinate closely with events, programs, communications, and finance teams to support advancement related activations and ensure alignment with agreed upon deliverables.
    • Track advancement activity timelines, milestones, and obligations, proactively identifying risks, gaps, or delays and escalating issues as appropriate.
    • Participate in onsite and virtual event execution for advancement programs, including registration coordination, materials preparation, presenter support, and technical setup.
    • Maintain accurate records of advancement deliverables and execution details in shared tracking systems and Nimble, as appropriate.
    • Compile post event and program summaries related to sponsor and partner participation, deliverable fulfillment, and execution outcomes to support reporting and renewal efforts.
    • Collaborate with leadership to continuously improve advancement operational processes, documentation, and workflows.
    • Perform related duties as assigned in support of ongoing advancement initiatives.

    Qualifications

    • Associate degree required; bachelor’s degree preferred.
    • Two or more years of experience supporting advancement, development, fundraising, sponsorship, partnership, or related operations, preferably in a nonprofit, higher education, or membership association environment.
    • Strong organizational and project coordination skills, with the ability to manage multiple deadlines simultaneously.
    • Excellent written and verbal communication skills.
    • High level of professionalism and sound judgment when communicating with internal and external stakeholders.
    • Experience working collaboratively across departments.
    • Working knowledge of Nimble, Salesforce, or a comparable database, or information management system.
    • Proven ability to work independently, take initiative, and follow through on assigned goals and priorities.
    • Ability to track budgets, monitor revenue outcomes, and support financial reporting related to sponsorship and advancement activities.
    • Proficiency with Microsoft Office applications, file sharing platforms such as Box, and project management tools such as Asana or Basecamp.
    • Attention to detail, adaptability, and a proactive approach to problem solving.

    Salary is commensurate with experience and includes an exceptional benefits package. The expected salary range for this position is $60,000–$62,000.
