The Nonprofit Learning Lab is seeking a highly organized and detail-oriented Manager of Employee Experience & Coaching to support our staff. This position ensures that payroll information is accurate, paid time off is tracked, managers stay connected with their teams, and staff have the resources and guidelines to be successful in their roles.
This role is ideal for someone who enjoys creating structure, following up on details, coaching, mentoring and helping a remote team stay organized. You will not process payroll though you will have an important role in ensuring our internal payroll operations run smoothly.
Please note: The position averages 2–3 hours per week, with approximately 2 hours per week during non-payroll weeks and 3 hours per week during payroll coordination weeks.
Responsibilities
Payroll Coordination
- Review employee timesheets for accuracy before each payroll cycle.
- Follow up with staff regarding missing or incomplete timesheets.
- Prepare and submit payroll information to the organization's Director twice each month at the end of the month and in the middle of the month.
- Coordinate payroll deadlines and ensure information is submitted on time.
- Track employee paid time off (PTO) balances and reconcile records with the payroll provider.
People Operations & Coaching
- Meet monthly with each of our three managers (20-minute meetings) to discuss staff support needs, operational challenges, and resource requests.
- Identify trends or concerns and communicate recommendations to the Director when appropriate.
- Help ensure staff have reliable internet, equipment, and other resources needed to perform their work effectively.
HR Policy Accountability
- Reinforce organizational operating procedures by sending weekly reminders through Slack about HR policies and standard operating procedures.
- Help ensure staff are following established HR operational processes.
Qualifications
- Exceptional organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to handle confidential information with professionalism.
- Comfortable using spreadsheets and online systems specifically google spreadsheets, slack and homebase
- Excellent written communication skills.
- Experience supporting remote teams is preferred.
- Experience with payroll coordination, HR administration, management and organizational operations is a plus.
Hours & Pay
This is a part-time, fully remote position for a candidate located within the United States. Compensation is $35 per hour. The position averages 2–3 hours per week, with approximately 2 hours per week during non-payroll weeks and 3 hours per week during payroll coordination weeks. Because this role supports managers and staff during the workday, applicants must be available to work between 9:00 a.m. and 12:00 p.m. Mountain Time. While the schedule offers flexibility within those hours, consistent availability during this window is required to effectively support the team and coordinate time-sensitive payroll and operational tasks.

- Maintain accurate PTO records.
- Help Director stay informed about staff needs.
- Provide supportive coaching and check-ins with staff
- Reinforce organizational policies and operating procedures.
- Support a positive, organized, and well-functioning remote work environment.
- Help identify opportunities to improve internal processes as our organization grows.
This is a part-time employee position, not an independent contractor role. The selected candidate will be hired as a W-2 employee of the Nonprofit Learning Lab. We anticipate this position will remain a consistent 2–3 hours per week and do not expect the workload or scheduled hours to increase significantly. This role is ideal for someone seeking a stable, long-term part-time opportunity with predictable responsibilities and hours.
