    Job summary

    The Staff Accountant supports the organization’s accounting operations by maintaining accurate financial records, performing account reconciliations, preparing journal entries, and supporting financial reporting. This role plays a key role in the monthly close process and supports payroll accounting, grant accounting, and audit preparation.

    Working closely with the Director of Finance and the Accounting Operations Manager, the Staff Accountant ensures financial data is accurate, properly documented, and aligned with nonprofit accounting standards and funding requirements.

    Duties and Responsibilities

    Duties and responsibilities include, but are not limited to the following:

    General Accounting

      • Prepare journal entries and maintain supporting documentation.
      • Review posted general ledger transactions and supporting schedules to ensure proper coding and classification during the month-end close process.
      • Maintain the general ledger and supporting accounting schedules.
      • Assist with maintaining the chart of accounts and ensuring consistent financial coding practices.

    Account Reconciliations

      • Perform monthly balance sheet reconciliations.
      • Investigate discrepancies and remove account differences.
      • Maintain documentation supporting reconciled balances.
      • Ensure reconciliation schedules are complete and organized.

    Month-End Close Support:

      • Assist with monthly close activities and preparation of financial schedules.
      • Ensure reconciliations and journal entries are completed on time.
      • Support the preparation of financial reports and internal analysis.
      • Maintain supporting schedules for key balance sheet accounts.

    Payroll Accounting:

      • Record payroll journal entries following payroll cycle.
      • Maintain payroll-related accounting schedules and documentation.
      • Reconcile payroll liability accounts, including payroll taxes and benefits.
      • Ensure payroll expenses are properly allocated across programs, grants, and functional categories.

    Grant Accounting:

      • Maintain grant-level expense tracking within the accounting system.
      • Ensure transactions are properly coded to grants and funding sources.
      • Prepare grant expenditures schedules and supporting documentation.
      • Reconcile grant balances and assist with supporting documentation for reimbursement.

    Financial Reporting Support:

      • Assist with budget-to-actual analysis.
      • Prepare schedules supporting internal financial reporting.
      • Support financial reporting needs for leadership and programs teams.

    Audit and Compliance:

      • Prepare financial schedules and documentation for the annual audit.
      • Maintain organizations accounting records and financial documentation.
      • Support responses to auditor's request and compliance documentation.

    Financial System Support:

      • Support maintenance of financial data integrity in the accounting system.
      • Assist with financial system reporting and improvements.
      • Support implementation and maintenance of accounting system structures, including dimensions and reporting frameworks.

    Minimum Qualifications

      • Bachelor’s degree in Accounting or Finance preferred.
      • 2-4 years of accounting experience.
      • Knowledge of GAAP and nonprofit accounting practices preferred.
      • Strong Excel skills.
      • Experience with accounting systems such as Sage Intacct preferred.
      • Ability to occasionally attend job-related meetings that extend beyond normal work hours.

    Physical Demands

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to remain in a stationary position 50% of the time. The person in this position occasionally needs to move about inside the office to access file cabinets, office machinery, etc. The employee constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. The person in this position frequently communicates with the public, volunteers and vendors and must be able to exchange accurate information in these situations. The employee must occasionally move objects up to 30 pounds.

    Environmental Conditions: Work is normally performed in a typical interior/building environment, but occasional work may be required outside the office environment, cold storage area, and other sites outdoors that may have extreme temperatures.
