    Description

Are you looking for a career that supports animals and the people who love and depend on them? Do you find deep meaning in helping families keep their beloved pets through life's hardest moments? Sage Compassion for Animals is seeking an Administrative Coordinator who is energized by organizing internal processes across multiple functions, ensuring follow-through, and advancing a mission that truly matters.

    About Sage Compassion for Animals

Sage Compassion for Animals (SageC4A) is a Bay Area nonprofit dedicated to keeping pets and their families together during times of crisis. We provide financial assistance for veterinary care to companion animals facing acute, life-threatening illness or injury - thereby preventing unnecessary suffering and euthanasia. We also educate communities about ways to prevent and reduce illness, and ensure all animals we help are spayed or neutered.

Founded in 2020, SageC4A is a growing organization with strong veterinary partnerships, a dedicated Board, and a donor community that shares our deep commitment to the human-animal bond. The demand for our services grows each month and we are building the processes and infrastructure to match our future vision. A strong administrative coordinator is central to this effort.

    Position Overview

Reporting to the Executive Director, the Administrative Coordinator is a key role supporting SageC4A programs, fundraising and event functions, and marketing coordination. This is a dynamic role that blends logistics, communication, and coordination to help make sure no ball is dropped. The ideal candidate thrives in a collaborative, entrepreneurial nonprofit environment — someone who enjoys building structure, managing processes, and working closely with the entire team in a role that touches many aspects of nonprofit operations. There will be opportunity for increased responsibilities and professional growth as the organization grows.

    Key Responsibilities

    Program Administration Support

    • Act as a resource to support our Healing Lives Program (offering financial assistance to pet families in need), working with the Animal Grant Program Director, clients and veterinary partners
    • Work with the Animal Grant Program Director to assure necessary paperwork is filed and completed to allow issuing payment of animal grants to Veterinary Partners
    • Assist in the process in following up with grantees to gain stories and images about the pets and families helped
    • Learn the Healing Lives Program application process and be able to assist with grant tracking and reporting

    Development, Marketing & Event Support

    • Generate, customize, and pull reports from the donor management system to support the Development Director in fundraising analysis and campaign tracking and to support the Marketing Specialist in creating impact messaging.
    • Assist the Development Director and Marketing Specialist in the execution of fundraising campaigns, donor appreciation, donor outreach, and stewardship efforts.
    • Leverage SageC4A’s donor data management system (EveryAction), entering data for SageC4A donors and prospects including tracking volunteer assignments and activities, solicitations, confidential contact reports and any other pertinent information as needed.
    • Help coordinate and prepare fundraising materials (appeals, email campaigns, reports).
    • Support coordination of donor cultivation and appreciation events, including logistics and communication.
    • Support planning and execution for community outreach and fundraising events.

    Operations & Administration

    • Keep shared documents, databases, and resources organized and accessible
    • Maintain organizational timelines and project calendars
    • Support compliance and documentation (e.g., bylaws, minutes, filings)

    Candidate Qualifications & Experience

    • 2+ years of experience in nonprofit, administrative, or project coordination roles.
    • Skilled at using tools like Microsoft 365 (Word, Excel, Powerpoint), Google Workspace, Zoom, and CRM databases (EveryAction experience a plus).
    • Strong written and verbal communication skills.
    • Able to manage multiple priorities and work independently with minimal oversight.
    • Proficient in managing shared files, tracking tasks, and documenting activities.
    • Passion for animal welfare or interest in the nonprofit sector is highly valued.

    What We’re Looking For

    • Comfortable working in a small, entrepreneurial nonprofit environment where flexibility and initiative are essential.
    • Excellent organizational and time management skills with strong attention to detail.
    • Passion for SageC4A’s mission of keeping pets and families together
    • Professional judgment, discretion, and integrity

    Compensation & Details

    • Full-time, hourly
