The Office Manager (OM) oversees and supports the administration for the overall organization for our Brooklyn and Bronx offices. In addition, respond to the program team's needs and requests under the supervision of the Assistant Executive Director - Finance and Operations. The Operations Manager is a critical team member and an experienced operations professional.
Key Responsibilities:
- Plan, monitor and oversee the day-to-day operations across three sites.
- Oversee all facilities operations services and maintenance, workplace environmental health & safety, regulatory compliance, and security, ensuring that the team have a safe, clean, healthy and comfortable work environment.
- Attend internal and external meetings and able to document, identify and track key takeaways, next steps, including resources or research needs
- Oversee the program’s deliveries, inventory, and program supplies/incentives
- Ensure a seamless IT experience through superior network, voice, and data performance in collaboration with IT consultant(s).
- Manage procurement including developing inventory systems.
- Order office supplies and equipment; prepare estimates and requisitions, as directed.
- Conduct research to identify resources needed to support programmatic or operations functions
- Revise and/or formulate operational protocols and promote their implementation.
- Oversee onboarding and offboarding team members
- Administer contracts for consultants, including drafting contracts and working with Finance to ensure timely payments of contracts and assist with drafting contracts and grant agreements
- Maintain well-organized and accessible files of all relevant program documents
- Provide administrative support to the Assistant Executive Director - Finance & Operations
- Supervise the operations & program intern(s)
Qualifications
- Bachelor’s degree preferred;
- Experience with expense program;
- Experience with or knowledge of Microsoft Office and Google Suite;
- Experience with Mac and Windows-based computer applications and database management;
- Must demonstrate great organizational, critical thinking, and time management skills;
- Must possess excellent communication (verbally and in writing) and interpersonal skills;
- Must be patient and flexible in a fast-pace environment
- Able to work effectively both independently and collaboratively. Self-starter.
- Bilingual-(English/Spanish) (fluent) preferred
