Established in 2020, Friends of the Amargosa Basin (www.friendsoftheamargosabasin.org) is a conservation nonprofit seeking a highly organized, multitalented individual to serve as a part-time Executive Assistant. The position aids in supporting every aspect of the functioning of the organization so that Friends of the Amargosa Basin (FAB) can achieve its mission of supporting the diversity of life in the Amargosa Basin by protecting its land, water, and beauty.
The Executive Assistant will provide comprehensive administrative capacity support to the Executive Director and Board of Directors, ensuring smooth operations and efficient communication within the organization. This role is integral to the success of our nonprofit, as the Executive Assistant will be responsible for managing the office and keeping it open for public visitation with posted hours, key administrative tasks, coordinating meetings and events as needed, handling correspondence, and assisting with various projects and initiatives as needed.
Location: Office is located in Shoshone, CA (30 minutes West of Pahrump, NV). In-person office time is required.
Responsibilities and Activities:
Administrative Support: Provide administrative support to the executive team, including: Keeping organizational records up to date, donation handling and correspondence, and handling logistical duties as needed.
- Financial Administration:
Assist with basic financial tasks on Intuit Quick Books, such as income depositing, expense tracking, invoice processing, and bank record reconciliation in coordination with the Board President and Executive Director. Reconcile Salsa platform donation tracking with records in Quick Books bookkeeping software. Make check and cash deposits at the organization’s banking institution as needed.
Document Management: Maintain and organize electronic and physical files, documents, and records. Assist with document preparation, formatting, and editing as needed.
- Office Management:
Support general office operations, including keeping the office clean, orderly, and open to the public with posted hours. Order supplies, manage office equipment, and coordinate maintenance and repairs. Participate in regular staff and board committee meetings.
- Meeting Coordination:
Coordinate and schedule meetings, prepare agendas, and take minutes as needed. Ensure all necessary materials are prepared and distributed in advance in coordination with the Executive Director.
Communication: Serve as a point of contact for internal and external communications, screening phone calls, emails, and other correspondence in coordination with the Executive Director and any relevant committee. This includes responsibilities for representing the organization on external communication platforms, such as various social media sites, in Salsa email blasts, and in website publications.
- Project Assistance:
Assist with special projects and initiatives as assigned by the Executive Director. This may include research, analysis, committee assignments, and preparation of reports, grants, and presentations.
Event Planning: As needed, coordinate logistics for events, conferences, and meetings, including travel arrangements, and accommodations for the Executive Director and/or board members. Assistance with setting up or planning for organizational events will also be needed, including planning for speakers, graphics or other forms of advertisement, securing catering, signing in volunteers, and logistical support during the event.
- Work planning and tracking progress:
Develop and track progress in the implementation of an annual work plan, in coordination with the Executive Director. Participate in regular staff meetings with the Executive Director to discuss work progress and priorities.
Qualifications:
- Proven experience (1+ years) as an Executive Assistant or similar administrative role, preferably in a nonprofit or mission-driven organization.
- Excellent organizational and time management skills, with the ability to prioritize tasks and handle multiple deadlines simultaneously.
- Strong communication skills, both written and verbal, with a professional and courteous demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook), Intuit Quick Books(required), Salsa CRM and Engage donor software (preferred), and other relevant applications.
- Attention to detail and accuracy in all work tasks.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility and adaptability to changing priorities and work demands.
- Commitment to the mission and values of the nonprofit organization.

Compensation and Benefits:
- $22/hour, 3 days (24 hours total) per week.
