World Jewish Relief USA is the newly established U.S. arm of World Jewish Relief, a global humanitarian organization with roots dating back to 1933. Today, World Jewish Relief works in approximately 20 countries, responding to crises and helping vulnerable communities rebuild their lives through emergency relief and long-term development.
As we build our presence in the United States, we are seeking a highly organized, proactive, and mission-driven Development & Administrative Assistant to work closely with the Executive Director in supporting fundraising, operations, and programmatic growth.
Position Overview
This is a dynamic, hands-on role supporting the Executive Director across all aspects of development and administration. The ideal candidate is detail-oriented, highly organized, and comfortable managing multiple priorities in a fast-paced, entrepreneurial environment.
This position offers a unique opportunity to play a central role in the early growth of a global humanitarian organization’s U.S. presence.
Global Team Integration
Although World Jewish Relief USA currently has a small U.S.-based team, this role is fully integrated into a global organization. The Development & Administrative Assistant will work closely with colleagues across World Jewish Relief’s UK headquarters, which includes approximately 60 staff.
This role offers a unique opportunity to operate at the intersection of a growing U.S. presence and an established global humanitarian organization.
The Development & Administrative Assistant will regularly interface with team members in development, communications, and finance, supporting coordination across time zones and ensuring alignment between U.S. and UK efforts.
The role will also participate in weekly organization-wide all-staff meetings, providing visibility into the full scope of World Jewish Relief’s global work and priorities.
Key Responsibilities
Development & Donor Administration
- Manage all administrative aspects of donor engagement and contributions
- Log donor interactions, notes, and next steps in CRM systems
- Track follow-ups and support donor pipeline management
- Draft and send gift acknowledgments and donor communications
- Coordinate closely with UK-based staff on donor-related matters
Campaign & Fundraising Support
- Provide administrative support for special campaigns, including peer-to-peer fundraising initiatives
- Assist with setup and maintenance of peer-to-peer platforms
- Serve as a point of contact for peer-to-peer fundraisers, responding to questions and providing support
- Track campaign activity and ensure accurate reporting
Mail & Gift Processing
- Manage incoming mail, including donor correspondence and contributions
- Process and log donations accurately
- Prepare and make bank deposits
- Ensure timely acknowledgment and documentation of all gifts
Executive Support & Scheduling
- Assist in managing the Executive Director’s calendar, including donor meetings and follow-ups
- Coordinate scheduling across multiple time zones (U.S. and UK)
- Support strategic outreach efforts, including coordinating with the UK Marketing & Communications team on geographically targeted outreach aligned with the Executive Director’s travel
Systems & Operations
- Take a lead role in managing administrative platforms, including CRM systems
- Maintain accurate and up-to-date records across systems
- Identify opportunities to improve administrative processes and workflows
Events & Logistics
- Provide administrative support for events, including donor gatherings and special programs
- Assist with planning, coordination, and execution of logistics
Qualifications
- 1–3 years of relevant experience in administrative, development, or nonprofit roles
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Comfort working with databases/CRM systems (experience preferred)
- Ability to manage multiple priorities and follow through independently
- Professional, responsive, and discreet in handling sensitive information
- Interest in global humanitarian work and nonprofit impact
Work Environment
- Hybrid position based in the Philadelphia area
- Approximately two days per week working in person with the Executive Director (when not traveling) in a co-working space
- Remaining days remote
