    Position Overview

    Excellent part-time opportunity to work mostly from home for a socially responsible organization with a mission to help those who are in need in our community.

    Welcoming Home is a 501(c)(3) nonprofit that provides furniture and household goods for families and individuals in Marin and Sonoma counties transitioning out of homelessness and poverty by fully furnishing and equipping their new homes. The organization also engages the community in donating gently used furniture, helping keep quality items out of landfills while creating dignified homes for neighbors in need.

    Welcoming Home is seeking a part-time Operations and Administrative Support Coordinator to help ensure Welcomings run smoothly and that follow-up materials are collected, organized, and ready for use. This role is focused entirely on operational coordination and administrative support — helping the team and Executive Director stay organized, volunteers stay on track, properly supported and trained.

    Primary Purpose of the Role

    This position is designed to support the day-to-day operational needs of Welcoming Home, with a focus on Volunteer Lead Welcoming support, training, preparation, volunteer coordination, and post-Welcoming follow-through, and additional admin support as needed. The role ensures that internal workflows are timely, materials are complete, and the E.D., staff and volunteers have the coordination support they need.

    Core Responsibilities

    The position will report to the Project Manager of Welcoming Home and will carry out the following responsibilities in support of the organization’ mission

    • Support the coordination of upcoming Welcomings, including helping identify and source needed furniture and household items online in coordination with staff and volunteer leads.
    • Serve as Lead Volunteer whenever needed and support new/old volunteers in training for all volunteer roles with an emphasis on other Lead Volunteers.
    • Work with volunteers to ensure timely collection of post-Welcoming materials, including before-and-after photos, short family or household write-ups, and other content needed for internal use.
    • Coordinate post-Welcoming follow-up tasks to ensure Before & After stories/photos come back into the office in a complete, organized, and timely manner.
    • Help establish and maintain clear timelines and follow-up practices so post-Welcoming workflows are closed out efficiently.
    • Collaborate across staff and volunteer functions to support smooth internal communication between program staff, Welcoming leads, and organizational leadership.
    • Provide general administrative support to E.D., Project Manager and Founders to keep operations organized and running smoothly.

    Qualifications

    • Strong connection to and enthusiasm for Welcoming Home’s mission.
    • Excellent organizational and communication skills with strong attention to detail.
    • Demonstrated ability to manage multiple tasks, timelines, and follow-up details consistently.
    • Experience coordinating with volunteers or supporting program operations is a plus.
    • Comfortable balancing independent work with regular collaboration across staff, leadership, and volunteers.
    • Residence in Marin, Sonoma County within a reasonable distance for periodic in-person responsibilities.

    • Paid time off: Two weeks annually, prorated based on regularly scheduled weekly hours
    • Paid sick leave: One week annually, prorated based on regularly scheduled weekly hours
    • ICHRA participation: Eligibility to participate in Welcoming Home’s Individual Coverage Health Reimbursement Arrangement, which may reimburse eligible health insurance and medical expenses in accordance with the plan

    Level of Language Proficiency

    Spanish proficiency is an advantage but not required.
