    Description

    Position Overview

    The Sudden Cardiac Arrest Foundation (SCAF) is seeking a highly organized and reliable Operations & Administrative Support Specialist to support day-to-day operations and program coordination.

    This is a part-time support role (approximately 6-8 hours per week) for someone who enjoys structure, organization, and keeping systems running smoothly behind the scenes. Periods of increased activity may occur during campaigns, events, or active project cycles, followed by lighter weeks depending on organizational needs.

    Key Responsibilities

    Administrative & Operations Support

    • Provide administrative support to the Executive Director
    • Assist with calendar coordination and scheduling
    • Monitor email communications and help draft, organize, or route responses
    • Communicate with constituents via email or phone
    • Maintain organized digital files, documents, and internal tracking systems
    • Support meeting preparation, notes, and follow-up tracking
    • Update and maintain routine operational workflows and databases/spreadsheets
    • Ensure recurring tasks and deadlines are completed accurately and on time

    Program & Project Support

    • Assist with coordination of webinars, campaigns, and outreach activities as needed
    • Track timelines, deliverables, and basic program workflows
    • Support preparation and distribution of program materials and resources
    • Help manage participant lists, volunteer communications, and logistical details
    • Assist in keeping active projects organized and moving forward

    General Coordination & Follow-Up

    • Track tasks and ensure follow-through across projects
    • Support coordination with volunteers, contractors, or partners on defined tasks
    • Provide operational support during higher-volume campaign or project periods

    Typical work may include calendar coordination, data entry, pulling reports, communicating with vendors and volunteers, support with event preparation, and assist with ongoing operational tasks.

    Ideal Candidate

    We are looking for someone who is:

    • Exceptionally organized, dependable, and detail-oriented
    • A self-starter and comfortable working independently in a remote environment
    • Strong in written communication and consistent follow-through
    • Able to independently manage multiple concurrent tasks without losing track of details
    • Flexible and comfortable with shifting weekly priorities
    • Grounded, practical, and execution-focused

    This role may be a strong fit for someone with experience in administrative support, executive assistant work, or nonprofit operations. A bachelor’s degree is preferred (not required), along with relevant experience in roles that require strong organization, administrative and communication skills.

    Time Commitment & Work Style

    • Approximately 6–8 hours per week
    • Fully remote with flexible scheduling (weekly virtual meetings with Executive Director)
    • Workload is generally steady, with occasional fluctuations during campaigns, events, or active program periods

    Compensation

    $26–30 per hour, depending on experience (1099 contractor).
