    Position Overview

    The Events Manager and Board Liaison is a reimagined role responsible for managing development operations and serving as a liaison to the Board of Trustees. This role will support external relations and revenue generation. As Board liaison, this role provides executive support and serves as the primary point of contact for internal and external constituencies, supporting administrative coordination, and managing special projects on behalf of the Director and the Board of Trustees.

    This position is ideal for an experienced professional seeking a new opportunity to leverage their strengths in areas such as organization, project management with a keen eye for details, communication, and overall operational administration. The ideal candidate is detail-oriented, proactive, and strategic. This role partners closely with the Director, Director of A&ER, and a team of dedicated staff. This position requires regular on-site attendance in our beautiful Berkeley hills office with panoramic views of the San Francisco Bay Area.

    Essential Duties and Responsibilities

    Board Relations

    • Providing Board management support is the primary responsibility for this role
    • Plan and coordinate Board and committee meeting logistics, prepare meeting agendas, and produce and distribute meeting materials, including meeting minutes at Board and committee meetings
    • Provide governance assistance to the Directorate, including the Board of Trustees, and Board Committees
    • Maintain governance-related records of membership, contact information and email groups
    • Prepare annual Board Directory
    • Serve as the primary contact person to trustees and committee members
    • Manage the Director’s calendar, particularly as it concerns to arranging Board and committee meetings
    • Oversee board and committee member’s travel arrangements, including travel, lodging, and logistics, and arrange for reimbursement of travel expenses
    • Serve as the “face” of the organization and interact directly with various stakeholders to provide high-quality customer service

    Donor Relations and Events Management

    • Create, manage, and execute at least five large-scale fundraising/ advancement events per year and all Board and committee meetings; this role is also responsible for managing all organizational events, some occurring weekly
    • Create and implement events and all logistics (including guest lists, catering, design, collateral, run of show, speaker(s)/ presenter(s), etc.)
    • In partnership with the food and beverage coordinator, coordinate catering needs for all organizational events, including scientific activities and fundraising events
    • Provide operational support to the Development team; ensure the Director(s) meeting logistics are coordinated and communicated in timely manner

    Development Operations

    • Manage data entry, gift processing and acknowledgement, and report generation
    • Create and manage annual fundraising dashboard to track progress to goal; report this data to the Director and Director of A&ER regularly
    • Support with special projects

    Other duties as assigned.

    Job Requirements

    This role requires a strong emphasis on teamwork, interpersonal skills, attention to detail, and excellent communication. The incumbent in this role must demonstrate that they can operate with the utmost discretion and integrity as they may have access to highly sensitive or confidential information in this role. Demonstrate strong knowledge of event management best practices. Strong organization skills and the ability to multitask are also key competencies. In addition, they must possess a positive and productive disposition when interacting with all stakeholders of the SLMath community and demonstrate a proactive and thoughtful approach in responding to needs as they arise. This position requires availability to work on some evenings and weekends during special events and Board meetings.
