COMPENSATION: $34 - $36

POSITION SUMMARY
The Administrative Operations Manager oversees the organization’s administrative operations, including executive support, financial administration, office systems, human resources coordination, and organizational compliance. Serving as the primary administrative partner to the Executive Director and providing support to the Board of Directors, this role helps ensure efficient day-to-day operations and strong organizational alignment. The Administrative Operations Manager also supports strategic priorities and contributes to building a positive, collaborative, and mission-driven workplace culture.
DUTIES AND RESPONSIBILITIES
Executive, Board, & Organizational Support
- Provide high-level administrative and executive support to the Executive Director, including calendar management, scheduling, correspondence, and follow-up.
- Coordinate Board of Directors meetings, including scheduling, agendas, meeting materials, minutes, and action-item follow-up.
- Maintain Board, governance, and key organizational records.
- Support organizational priorities, strategic initiatives, events, and special projects.
- Provide administrative and project support across departments to strengthen communication, coordination, and organizational effectiveness.
Administrative & Financial Operations
- Oversee day-to-day office operations and administrative systems to support an efficient and well-organized workplace.
- Manage organizational records, shared drives, office equipment, supplies, software platforms, and vendor relationships.
- Develop, document, and continuously improve administrative procedures and workflows.
- Process donations, deposits, invoices, and other routine financial transactions.
- Reconcile organizational credit cards and maintain accurate supporting documentation.
- Support budget tracking, expense management, payroll administration, and financial recordkeeping.
- Coordinate with organizational leadership and external financial partners as needed.
Human Resources, Technology & Compliance
- Coordinate administrative aspects of recruitment, hiring, onboarding, and offboarding.
- Manage employee and volunteer background checks and required onboarding documentation.
- Maintain confidential personnel files, HR records, benefits documentation, policies, and other employment records.
- Support benefits administration and serve as an administrative resource for employees regarding HR processes and policies.
- Coordinate employee technology onboarding and offboarding, including user accounts, system access, permissions, and organizational equipment.
- Serve as the primary administrative contact for organizational technology systems and coordinate support with third-party IT vendors.
- Maintain inventories of technology assets, software licenses, and organizational equipment.
- Maintain compliance calendars, licenses, insurance records, workplace safety documentation, and required organizational records.
- Support workplace safety, organizational risk management, and compliance with established policies and procedures.
Organizational Culture & Continuous Improvement
- Identify opportunities to strengthen administrative systems, technology, workflows, and internal processes.
- Partner across departments to improve communication, efficiency, and consistency in organizational operations.
- Help create effective and welcoming onboarding and offboarding experiences for employees.
- Serve as a knowledgeable and approachable resource for staff navigating organizational systems and administrative processes.
- Contribute to a positive, collaborative, inclusive, and mission-driven workplace culture.
- Perform other duties as assigned in support of organizational and community needs.
QUALIFICATIONS AND JOB REQUIREMENTS
- Passion for community service, volunteer engagement, and food security work.
- Strong organizational, administrative, and project coordination skills.
- Excellent interpersonal, communication, and relationship-building abilities.
- Ability to manage multiple priorities and workflows in a fast-paced nonprofit environment.
- Experience in volunteer management, nonprofit operations, administration, human resources, or office management preferred.
- Proficiency with Microsoft Office Suite, Excel, Google Workspace, databases, and organizational systems.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong attention to detail and commitment to accuracy.
WORK ENVIRONMENT & PHYSICAL REQUIREMENTS
- This position operates within office, pantry, warehouse, and community environments.
- Regular computer use, standing, walking, and administrative coordination required.
- Occasional lifting of up to 25 pounds may be required.
- Position may occasionally support events, volunteer activities, or operational functions outside normal office settings.
