Administrative Duties:
- Provide a monthly statistical and narrative overview in report format by the second (2nd) Monday of each month.
- Prepare and/or review all DYCD and DOH reporting documents (Incident/Accident/Child Abuse, etc.), disciplinary forms within the mandated time period of 24 hours.
- Ensure payroll is prepared and submitted as per mandated due date
- Monitor employee time as per budget allocations.
- Secure all permits, licenses for program use (school, extended hours, Parks Department, etc.)
Meet and maintain contractual compliance:
- Understand and implement programming according to NYS Office of Children and Family Services (OCFS) School Age Child Care (SACC) regulations (SACC 4.14) and the NYC Department of Youth & Community Service Beacon contract.
- Confirm completion and accuracy of up-to-date NYS OCFS SACC license requirements
- Build and maintain positive relationships with contractors, licensors in accordance with contracts
- Create an inclusive, safe and healthy workplace and program for all staff and members.
- Develop the Beacon Work scope in conjunction with program managers and supervisors as prescribed by funding agency’s contract and the ODT program standards and outline.
Monitor data entry and client file maintenance systems to ensure compliance and accuracy.
- Audit database to ensure accuracy of schedules and attendance entry
- Run data reports to identify strengths and weaknesses in service delivery, enrollment, recruitment, and retention.
- Create a strategic plan to ensure enrollment and retention are on track
- Audit staff and member files to ensure contents are in compliance.
- Share strategies for programmatic improvements with the Executive Director and direct reports.
Identify private, local, city, and state opportunities for enhancing programs:
- Attend relevant community meetings with elected officials, Community Boards, the NYPD, partnering CBOs, and other pertinent organizations that may provide resources to the Beacon and its members.
- Build relationships with local officials via sponsoring or attending events; getting Beacon members involved in community events and advocacy, soliciting their support at events, funding requests, or other activities relevant to the success of the ODT Beacon.
- Research to identify possible funding sources or in-kind program resources to enhance the ODT Beacon program menu, professional development opportunities, etc.
- Delegate tasks to the Community Liaison that engage school administration, parents, and local community members in advocacy efforts.
Compose narrative for identified grant opportunities, as needed.
