With over two decades of experience, ITPC combines advocacy, data, policy engagement, and community intelligence to influence health systems and global decision-making. Through the Make Medicines Affordable (MMA) strategic pillar, ITPC works to challenge inequities in access to medicines and health technologies by advancing community-led advocacy, policy influence, intellectual property reform, market transparency, and equitable pharmaceutical systems.
ITPC is currently seeking a Program Assistant to support the Make Medicines Affordable (MMA) strategic focus area. The successful candidate will provide ongoing coordination and administrative support to the MMA team, including partnership coordination, program logistics, project administration and support, to help ensure effective program implementation and impact.
This is a full-time, fixed-term position ending 31 December 2027. The position is remote, with preference given to candidates operating within CET, SAST, or similar time zones.
Core Responsibilities:
Partnership Development/Liaison Support
- Coordinate and schedule calls and virtual meetings with staff, partners, and hubs using Zoom and other conferencing platforms.
- Prepare and distribute meeting minutes, action points, and maintain updated stakeholder and partner records.
- Maintain and regularly update contact and organizational information for key ITPC network members and sub-grantees.
Project Administration
- Manage program calendars, events, travel arrangements, and meeting logistics.
- Support project administration, consultant coordination, invoice processing, and contract tracking.
- Assist with data collection and reporting for program, donor, and Monitoring & Evaluation requirements.
- Support partner reporting compliance, program workplan updates, and ITPC’s small grants processes.
- Provide general administrative and operational support to the MMA team.
Project Backstopping
- Assist with the preparation of ToRs, consultant contracts, procurement documentation, and payment processes.
- Monitor consultant contracts, renewals, and supporting documentation, and support year-end accrual processes.
Executive Level and Stakeholder Support
- Provide administrative support to the Access to Diagnostics and Medicines Lead, including scheduling and documentation preparation.
- Support stakeholder engagement, reporting processes, and staff participation in meetings, workshops, and conferences.
Organizational Culture and Representation
- Contribute to a collaborative and respectful organizational culture aligned with ITPC’s values.
- Represent ITPC professionally in national, regional, and international engagements.
Requirements:
- Bachelor’s degree in International Health/Development, Public Policy, Health Economics, Pharmacy, Pharmaceutical Chemistry, Law, Intellectual Property, or a related field. Relevant professional experience (2–3 years) may be considered in lieu of a degree.
- Proficiency in Microsoft Office applications, particularly Outlook, Word, Excel, and PowerPoint.
- Strong technical and administrative skills, including experience using Zoom and language translation applications such as DeepL.
- Excellent organizational skills with strong attention to detail and accuracy.
- Demonstrated initiative, sound judgment, and proactive problem-solving abilities.
- Research, analytical, quantitative, and critical-thinking skills.
- Proven ability to manage multiple priorities, work under pressure, and coordinate across multiple time zones.
- Ability to work independently and effectively within a flexible, virtual NGO environment.
- Strong interpersonal and communication skills, with the ability to work collaboratively across diverse and multicultural settings.
- High levels of professionalism, integrity, adaptability, and flexibility.
- Excellent written, verbal, and presentation skills in English; proficiency in an additional language is an advantage.
